The Role:
Boat Rocker Studios is seeking a reliable, dynamic self-starter to join our team in Toronto. The coordinator will directly report to SVP, Distribution based in Toronto. The successful candidate will also support the senior Boat Rocker distribution team to deliver broad sales & marketing support to the Unscripted, Scripted and Kids & Family sales execs.
This role requires superior attention to detail, great organisational skills, an independent thinker who finds solutions without hands on direction, juggling multiple requests and respecting tight deadlines. The successful individual with thrive on providing top support to the sales team - all with varying needs based on their focus areas.
A good sense of humor is critical, adaptability as well as possessing the skills to react with urgency to situations which require a quick turnaround.
Responsibilities:
Complete a broad variety of administrative and sales support tasks including gathering information on content to be presented to clients, assisting with special projects, reports, and presentations.
Gathering weekly round-up of industry intel from trade publications (C21, TBI, Realscreen, Broadcast, etc.) pertaining to international sales concluded by other distributor, announcement of new content commissioned, etc.
Arrange and handle logistics around in person and virtual meetings, conference calls and events: schedule meetings; book meeting rooms; draft agendas, develop, compile, and distribute any materials needed, etc.
Manage calendars around markets, trade events and general internal requests for sales executives as needed. Work with other colleagues across depts and offices to effectively maintain department schedules, registrations, and deadline.
Work closely with Brand Management, Content Marketing, Rights Administration and Media Operations team ensuring they have timely distribution sales updates and new program information, as needed
Facilitate travel, accommodation, client dining bookings, transport and transfers and draft itineraries.
Compile monthly expense reports & tracking on behalf of executives as needed
Package and ship sales materials, catalogues, business cards, and supplies for markets and conferences, as necessary
Complete detailed research on assigned projects and tasks
Tracking all active distribution sales as well as ongoing broadcaster conversations by maintaining and circulating up to date spreadsheets (power points for weekly sales meeting, top ten charts/broadcast charts)
Tracking all active third party content reviews for potential acquisitions by maintaining and circulating up to date spreadsheets for internal needs.
Tracking monthly screeners out from sales team
Creating bespoke decks for clients- broadcasters as well as 3rd party acquisitions
Working with producers of new 3rd party acquisitions to present new content to sales team ahead of major markets such as MIPCOM.
Creating avails documents for sales team to send to buyers (this may include power points with synopses/images/screening links or re-purposing avails docs from rights management to fit the client's needs
E blasts for market meeting requests
Helping to create external screening links for new shows
Maintaining word doc with all shows in catalogue (synopses, screening links). Used by sales team when sending out avails to clients
Maintaining scripted, unscripted, kids & family digital and print catalogues using Indesign and photoshop
Maintaining licensee lists for franchise brands
Trade calendar - adding in tradeshow events for the year, ad bookings, editorial
Qualifications:
1-2 years in an entertainment, media, or production company
Previous Production Assistant / Coordinator experience
An eagerness to grow within a sales environment and thrive when tasked with multiple projects
Ability to communicate clearly and precisely. Strong interpersonal and relationship management skills.
Highly organized and meticulous attention to detail
Ability to work under own initiative
Very Strong Excel and PowerPoint skills.
