This is a Full Time Job
The Business and Legal Affairs department handles development and production work for unscripted programming, news programming, tent-poles and works closely with the networks’ Development and Production Management teams, as well as many other departments (including Programming, Talent, Publicity, Music & Media Licensing, Labor & Employment, Risk Management, Pre-Broadcast Content Review, Intellectual Property & Litigation and Accounting/Finance).
Primary Duties
• Draft correspondence, deal summaries, contract amendments and legal memos under the supervision of attorneys
• Revise and redline agreements and other legal documents
• Maintain and update various logs for the Business and Legal Affairs Department, including tracking the status of contracts
• Assist Production/Finance personnel with inquiries about pending, as well as fully executed contracts
• Maintain an organized and efficient filing system, and build production binders for shows when necessary
• Process the execution and dissemination of agreements to appropriate parties
• Mail packages and process shipping labels for UPS/FedEx
• Answer phones with professional demeanor, maintain phone/email log, and set up/coordinate conference calls with multiple parties
• Ability to book conference rooms, maintain calendars, update contacts and schedule meetings for Departmental Attorneys
• Book travel and process travel and expense reports for Departmental Attorneys through Concur
• Liaise with other Administrative Assistants across the company and industry in a professional and courteous manner
• Keep track of and order supplies for department
• Adept and skilled in Microsoft Word, Microsoft Outlook, DM5, PowerPoint and Excel
• Conduct other administrative duties as required
Basic Qualifications
• Minimum of 2-3 years’ experience as an assistant in the legal industry or a television or film company
• Typing skills are mandatory
Additional Qualifications
• Bachelor’s Degree is preferred
• Extremely detail oriented and high level of concentration is required
• Punctual and available to work flexible hours to accommodate clients on west coast
• Self-starter who is able to multi-task, while handling a high volume of work for several attorneys
• Highly organized and able to prioritize workload for various supervisors under time pressure
• Ability to read and analyze legal documents
• Ability to work with all levels of personnel within the company and throughout the industry
• Great teammate who is able to collaborate with others to achieve the best results for the department and the company
