The Business and Legal Affairs Department is looking to hire an experienced legal assistant! Do you have a minimum of 2 years' experience as an assistant in the legal industry or a television or film company?
Primary Responsibilities:
• Draft correspondence, deal summaries, contract amendments and legal memos under the supervision of attorneys
• Must be able to revise and redline agreements and other legal documents
• Maintain and update various logs for the Business and Legal Affairs Department, including tracking the status of contracts
• Assist Production/Finance personnel with inquiries about pending as well as fully executed contracts
• Maintain an organized and efficient filing system and build production binders for shows when necessary
• Process the execution and dissemination of agreements to appropriate parties
• Mail packages and process shipping labels for UPS/FedEx
• Answer phones with professional demeanor, maintain phone log/email log, and able to set up and coordinate conference calls with multiple parties
• Able to book conference rooms, maintain calendars, update contacts and schedule meetings for Departmental Attorneys
• Book travel and process travel and expense reports for Departmental Attorneys through Concur
• Liaise with other Administrative Assistants across the company and industry in a professional and courteous manner
• Keep track of and order supplies for department
• Adept and skilled in Microsoft Word, Microsoft Outlook, DM5, PowerPoint and Excel
• Conduct other administrative duties as required
Basic Qualifications:
• Minimum of 2 years' experience as an assistant in the legal industry or a television or film company
• Typing skills are mandatory
Additional Qualifications:
• Bachelor's Degree is preferred
• Very detail oriented and high level of concentration required
• Punctual and available to work flexible hours to accommodate clients on west coast
• Must be able to prioritize workload for various supervisors
• Must be a self-starter and able to multi-task while handling a high volume of work for several executives
• Must be highly organized, able to prioritize and handle various assignments under time pressure
• Ability to read and analyze legal documents is key to this position
• Must be able to work with personnel at all levels of the company and throughout the industry
• Must be a standout colleague and able to collaborate with others to achieve the best results for the department and the company
• Previous experience in a legal setting or television/film company preferred
