POSITION Assistant to Ally Bernstein, Founder & CEO
ABOUT THIS POSITION The Assistant role is instrumental to Ally's business and personal life.
Responsibilities and tasks run the gamut from client-facing, in-office, administrative, personal, and more. Although the Company is on a hybrid model with some team members working from home several days a week, Ally works best in the office and this position is required to be in the office with her at least three days each week and possibly more. This role does/sometimes/often requires weekend work that is sometimes handled via phone or email and sometimes happens in the office with Ally. This position is expected to be accessible via phone, email or text before and after traditional work hours for time-sensitive or urgent needs.
WHAT YOU'LL BE DOING EVERY DAY
- Manage daily schedule of meetings and appointments - ensuring that all necessary information (names, titles, addresses, contact information, Zoom links, etc.) are complete and accurate
- Organize - and in some cases print - all materials for daily meetings
- Provide Ally with daily schedules the day prior in order to preview the next day's meetings, appointments, logistics, materials, etc.
- Assist as needed with computer/technology needs and work with Company's IT resource as necessary
- Maintain updated, accurate client folders
- Organize and update Ally's master doc in Google Drive ensuring live links to each client and all materials are always in place
- Manage team calendar, taking care that information is accurate and updated
- Develop and refine travel itineraries and manage all travel arrangements in a way that reflects Ally's travel preferences and requirements
- Draft mailing notes, emails and more to reflect Ally's voice
- Send daily schedules to Ally previewing the next day's meetings and appointments
- Handle coding for Company AmEx account
- Do the research to create bios, face cards and new business sheets in order to provide Ally with the most complete, relevant and current information on people
- Handle general office tasks such as purchasing supplies, picking up lunch, running errands, etc.
- Serve as front desk attendant for guests, couriers and mailing services when necessary
- Assist with network outreach for social media posting, and pre- and post-mailer delivery,
- Handle personal tasks such as picking up lunch or personal items (retail, grocery, pharmacy, etc.), scheduling beauty appointments, house pickups & dropoffs, making reservations, and more
YOU'LL BE SUCCESSFUL IN THIS ROLE IF THIS SOUNDS LIKE YOU

- Comfortable asking for help when you need it, and offering help when someone else needs it
- Confident enough to ask questions if you don't understand something, and to own up to a mistake if you make one (hey, we all make mistakes)
- Motivated, self-starter able to take initiative
- Dedicated and always put in a little extra effort to make something great
- Super organized and has impeccable attention to detail
- Able to juggle multiple projects, deliverables and timelines without getting flustered
- Communicates clearly and in a timely fashion
- Able to operate at a very (VERY) fast pace...the kind of person who can naturally do three things at once like answering a question, preparing for a meeting and setting up a Zoom call
- Able to receive and learn from direct, constructive feedback
- Excited by the prospect of working for an assertive, strong-willed, creative founder
- Proficient in Google Slides, Zoom, Outlook, Canva, LinkedIn, Instagram
- Must have a valid driver's license
WHAT EXPERIENCE IS REQUIRED TO APPLY Minimum of one year of professional experience as a Personal or Executive Assistant.?
