The Production Finance Coordinator will provide day-to-day administrative support to the entire production department, especially in tasks related to Finance/Accounting needs. A determined work ethic, can-do attitude, and positive mindset are critical for this entry-level role. You must be extremely organized, detail-oriented, and collaborative. This position is an exciting starting point to grow into other production roles within Be Grizzlee.
This is a temp-to-perm opportunity. Be Grizzlee is currently fully remote, but when our offices reopen, this role will be required to work in-office full-time.
In this role you will:
Execute basic project accounting for payment processing: set up new vendors, send out purchase orders, communicate with vendor and Finance from initial paperwork to final invoice submission, and accept and finalize invoices
Assist with estimate creation and purchase order tracking and estimate creation within our budget tracking software.
Input and submit expense reports into internal accounting system
Liaise between producers and Finance to request and open new job numbers
Reconcile entire department's monthly statements and bills within Excel spreadsheet
Support Finance and Production to code and track corporate credit card charges and receipts.
Recover historical job information from internal reporting software or file repository
Track status on various projects to report in weekly Finance meetings
Manage workers' time-reporting process including send reminders and follow-ups
Support production analysis/audit process: to identify discrepancies and validate jobs
Take on special projects such as gather data, generate reports, create charts, build presentation decks using Keynote, etc.
Other ad hoc duties such as data entry, pick up and manage petty cash, etc.
Collaborate with all members of the production department and Finance.
You should have:
Previous experience as a Production Assistant preferred.
Must have a strong interest in production and advertising; live action/post/editorial experience is a plus
Advanced knowledge of Excel; proficiency in Word, Outlook, Keynote, and Numbers
Communications, organizational, time management, and prioritization skills required.
Must be analytical, detail-oriented, and a problem-solver.
Positive, reliable, and team-driven attitude.
Availability to work overtime and some weekends on short notice.
Valid driver's license and/or access to transportation for work-related tasks is a plus.
