SUMMARY: Performs a variety of secretarial duties for attorney(s) to whom assigned according to established policies and procedures. Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Drafts correspondence, edit, redline, apply style schemes, proofread documents as requested, including engagement letters, memoranda, audit letters, and other correspondence.
2. Handles heavy phones, screen and transmit telephone calls to attorneys, and take messages if necessary, with recognition of and attention to the particular needs of the clients.
3. Maintains assigned attorneys' calendar including scheduling travel, conference calls for attorneys and clients and make appointments when necessary.
4. Reads, sorts and dates incoming mail. Ensures that outgoing mail is timely delivered. If necessary, routes mail to specific delivery service and follows up on timely delivery.
5. Arranges for meetings/conference rooms, using the firm's conference room reservation software system.
6. Opens new clients and/or matters.
7. Handles clearing various conflicts with other attorneys matters, draft conflict waiver letters as necessary.
8. Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship
9. Maintains contacts in Outlook for assigned attorneys, pursuant to each of their preference.
10. Assists accounting billing assistant with month end billing and other billing matters as requested by assigned attorneys.
11. Prepares and submits travel expense reports and other business related expenses for reimbursement.
12. Prepares and updates closing binders as necessary.
13. Request UCC Searches as necessary.
14. Handle payment of outside vendor services (e.g. Copyright Filing Fee, UCCs Filing Fees, UCC Searches) as necessary.
The employee must be able to perform all essential job duties and responsibilities of this position satisfactorily and as outlined, with or without reasonable accommodations. Reasonable accommodation requests may be accommodated, absent undue firm hardship.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. Ability to read and write in order to proof and perform editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters.
2. Approximately three to five years on the job experience necessary in order to gain an understanding of law office policies and procedures and produce accurate legal documents with minimal supervision.
3. Ability to transcribe legal documents, correspondence and reports from rough draft or dictation at a level of 70 wpm.4. Ability to proofread typed material for grammatical, typographical or spelling errors.
5. Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact.
6. Familiarity with MS Word, Outlook, Excel and PowerPoint required.
7. Familiarity with Workshare Compare and DeskSite preferred.
8. Work occasionally requires a high level of mental effort and strain while producing a high volume of information performing other essential duties.
9. Ability to work independently with minimal supervision is a plus10. Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
WORKING CONDITIONS:1. Normal law office environment with little exposure to excessive noise, dust, temperature and the like.
