SYSTEMS COORDINATOR- New York, NY
Barbizon Electric Co. of New York has an immediate opening for a full time Administrative Assistant in our Systems Division.
Responsibilities include:
• Create and process purchase orders
• Coordinate shipping, commissioning invoicing and tracking of orders
• Screen and route telephone calls for sales and project management
• Keep minutes and attendance records for department meetings
• Liaison with other departments internally including HR, Accounting, Purchasing, and CFO office
• Maintain various databases as needed
• Prepare and maintain quarterly reports
• Entering orders into internal database
• Procuring bid requests
• Credit Reference requests
• COI review and addendums as needed with our brokers
• Prepare Quarterly Sales report for department
• Assembling submittals as needed
• General office coordination including but not limited to maintaining office equipment, sorting/distributing mail, faxing and copying as needed
• Other duties as assigned
Qualified candidate will have:
• Minimum three years of experience in a similar capacity
• Outstanding customer service skills
• Proficiency in Microsoft Office and ability to easily adapt to different software programs is essential.
• Excellent organizational skills
• Excellent verbal and written communications skills
