About Hyphenate Media Group
Summary of Position
Hyphenate Media Group is seeking a full-time Scripted Executive Assistant. This opportunity provides an excellent learning experience for an individual with a strong interest in the producing and developing longform content for different platforms (film, TV, streaming, podcasts, etc.).
Reporting directly to the President of Television, HMG, the ideal candidate will have multiple years of direct experience with efficiently supporting top-level executives. The candidate is willing to actively contribute to support the larger team, no matter the significance of the task. A successful candidate will be a highly motivated self-starter with a positive attitude, who is extremely detail-oriented, with strong organization skills and possess the ability to multitask, anticipate, and problem solve in a fast-paced environment.
Availability
This position would begin as soon as November of 2024.
Location
The office is located in North Hollywood. The position is in-person Monday-Friday.
Responsibilities
• Coordinate the President of Television and Director of Development's calendars and schedule appointments which include senior staff, ensuring all parties are informed of and kept abreast of schedule awareness.
• Coordinate pitches and meetings with a myriad of external attendees and prioritize commitments with external parties.
• Taking notes on various calls but practicing discretion with sensitive information.
• Maintain and update phonesheets and detailed digital filing system on OneDrive, including development materials and incoming submissions.
• Organize the President's business duties by keeping track of to-do lists, reminders, follow-ups, and assist her on completing these tasks
• Keep updated contact records on Outlook
• In coordination with the office of the COO, process invoices and deal agreements, file accordingly.
• Assist with special projects and perform other related duties as assigned by the department's senior staff.
• Attend meetings and other functions as needed, take detailed notes during the meeting; is responsible for any follow-up action items (e.g. sending a script, adding a person to the phone sheet).
• Perform general clerical duties including but not limited to filing, scanning, and mailing.
• Coordinate travel arrangements, complete expense reports for the President and Director of Development.
Required Qualifications
• 1 to 2 years of desk experience at an agency (TV Lit), scripted television studio, or scripted television studio or production company; this is not an entry-level position.
• Bachelor's degree (B.A.) or equivalent
• Experience and knowledge of production; knowing the different departments, their functions, key terminology
• Excellent verbal and communication skills
• Proficient using: Microsoft Office Suite; including Outlook and Teams, Zoom, IMDB and IMDBPro, Studio System.
• Versatility, flexibility, and a willingness to work within constantly changing priorities.
• Acute attention to detail.
• Commitment to excellence and high standards.
• Ability to work on complex projects with general direction and minimal guidance; can work independently
• Creative, flexible, and an innovative team player.
• Ability to deal effectively and create strong relationships with a diversity of individuals at all organizational levels; this includes investors, directors, writers, actors, crew, executives, etc.
• Strong organization, problem-solving, and analytical skills; able to manage priorities and workflow
• Demonstrated ability to plan and organize projects
• Ability to meet deadlines
• Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
• Highly favorable references
Nice To Haves
• Able to navigate and use any of the following: Excel, Adobe, DeepL
• Knowledge of director, writers, agents, and managers
• Have an interest in and is able to speak about current content (film, TV, streaming, podcasts, etc.)
• Basic design experience or a creative eye for deck building
• Fluent in another language (Spanish is a plus!)
