Full Time Job
The Office Assistant role combines front of house, general office administrative duties and a day-to-day support for Talent Manager and SVP, Production.
Front of House and General Office Duties (Primary):
- Answer and direct calls, meet & greet visitors
- Manage calendars and scheduling for all NY team (including travel)
- Maintain kitchen & office supplies, distribute post, handle basic IT needs, and maintain overall tidiness throughout the office
- Liaise with the Director of Operations & HR regarding IT or building maintenance issues
- Issue expense reports for AMEX corporate cards and for reimbursements when needed
Support for Manager (Secondary):
- Cut and edit client reels and video materials
- Administration of clients' contracts
- Update client resumes/bios/credits/etc.
- Support in casting and staffing submissions
- Support in scheduling and calendar maintenance for clients and managers
- Browse Breakdown Express to submit clients for acting roles
- Attend weekly management meeting as required
Support for US Production Department (Secondary):
- Maintain Avalon Studios' Master Production / Post Calendar
- Set up all Production Project Personnel Email Addresses with Avalon Accounts
- Coordinate meetings for Avalon Studio's Production Team Meetings
o Avalon Daily Check Ins
o Weekly Avalon Legal Calls
o Weekly Avalon Development Calls
o Weekly Avalon Finance Calls
o Daily or Weekly Check- In Calls - Production and or Post & Avalon
o Weekly Check- In Calls - Production Accounting & Avalon Production Finance
o Bi-Weekly Budget Calls - Avalon Production, Avalon Production Finance, Production & Production Accounting
o Check In Calls with Network Executives
• Set up, maintain, and manage Avalon Studios' Zoom, Web Ex, Google Suites, BOX, Docu-sign, Aspera, PIX, Scenechronize, and Stock Footage & Music Library Accounts.

- Experience in editing & filming (preferred but not required)
Qualifications
- Understanding of Network and Show Department Structure and Communications
- Knowledge of MS Office, Google Suite, BOX, DAX, PIX, Aspera and Scenechronize required
- Production credit on at least one accredited and broadcast, scripted television series
