Australians in Film (AiF) is a global non-profit cultural organization whose mission is to increase the visibility of undiscovered and under-represented Australian talent, including writers, directors and producers, internationally. We are based in Los Angeles at Charlie's, a co-working business and networking hub for Australian Creatives. We run numerous cultural programs including The Heath Ledger Scholarship, Untapped, Talent Gateway and the Global Producers Exchange. Additionally, we host regular screenings and industry events for our members throughout the year.
Reporting to the senior management team, the Program and Executive Assistant will be an essential participant in the organization's industry development programming, above all, ensuring the office is running smoothly and efficiently.
We are seeking an energetic, responsible, innovative, and organized candidate with a passion for international film, television and online content with a great eye for detail.
Your job description will include:
• Administrative and scheduling support for the Industry Development staff and Programs - Untapped, Talent Gateway, Global Producers Exchange and the Heath Ledger Scholarship
• Supporting the creation of all program related announcements, communications and materials
• Review and evaluate program submissions, including pitches, treatments, work samples and screenplays
• Scheduling and coordinating virtual program meetings and sessions via Zoom
• Executive Director support - scheduling meetings, preparation and distribution of meeting notes and board papers
• Working with the Events Team, to arrange in-person screenings and industry sessions (Post Pandemic)
• Prioritize and manage a complex, deadline-driven work schedule
• Generate and maintain spreadsheets tracking screening dates, series, film titles, sources, costs, event partners, and other requirements
• Assist with logistical arrangements for visiting filmmakers, artists, and actors
• Plan and books flights, ground transportation, and accommodations for visitors
• Communicate essential internal information and logistics to external vendors (theatres, screening staff, event planners)
• Recruit and Manage Volunteers
This is a full-time position. Currently working remotely, but plans are underway to commence work in our offices in Hollywood.
You Have:
• A passion for inclusive global film & television and supporting new talent
• A Bachelor's degree in film studies or equivalent preferred
• 2-3 years industry experience.
• Some experience with script analysis and coverage
• Basic knowledge of film history and technology
• Skill in reading and composing correspondence and reports
• Experience using MS Office programs and database software
• A commitment to diversity, equity, and inclusion
• A valid Californian driver's license
