The Director, Asset Management and Facilities will have proven experience in facilities services including company fleet management, contract administration, operating buildings, space optimization (office space), storage management (physical), and maintaining a great workplace for our team members
Key Responsibilities:
Fleet Management
• Lead the implementation of organizational policies and procedure for the effective utilization, oversight, and management of the company fleet, ensuring compliance with State and Federal (DOT) and efficiency across vehicles, company cars, and utility vehicles
• Maintain a comprehensive database for all company fleet vehicles, including relevant vehicle statistics such as mileage, maintenance, and VINs.
• Coordinate with the legal department on schedule of vehicles for accuracy and departments allocations
• Maintain list of approved drivers and manage MVR approvals
• Coordinate with the legal department and accounting/finance on annual vehicle registrations and insurance
• Develop and set budgeting parameters for the acquisition and cost-efficient disposition of the company fleet, ensuring alignment with overall business objectives
• Supervise the implementation and management of appropriate programs for uniform fleet maintenance and gas cards
• Collaborate with departments utilizing company vehicles and 24/7 software to ensure operational efficiency
Administrative Facilities Management
• Directly oversee and provide leadership to the Manager of People Services, ensuring alignment with organizational goals.
• Plan, schedule, budget, resource and execute all business systems, hard and soft services required to maintain workplace, buildings, and grounds.
• Partner with internal stakeholders to establish and maintain agreements with facility management providers, including offsite storage units and warehouses, serving as their main point of contact.
• Coordinate with the legal department and accounting/finance on schedule of properties.
• Oversee contract administration for all office services.
• Oversee the management of all office common areas, including maintenance of food and beverage stock where appropriate.
• Develop business relationships to ensure communication and efficient operations with third-party vendors, including but not limited to, overnight delivery services, janitorial, external contractors, fleet and facility maintenance, and beverage.
• Managing logistical requirements related to space planning transitions, including any customization required by users of the space.
• Ensuring space transitions are handled efficiently, professionally, and according to timelines established with clients and units affected by the move.
• Monitoring and reporting on the progress of each project including renovations, furniture modification, and infrastructure changes.
• Monitor of financial projects, including client approvals, tracking and reviewing invoices, receipts, and budget expenditures for reporting compliance.
• Fire alarm captain oversight
Asset Storage Management
• Develop and implement strategies to optimize storage operations in-house and offsite.
• Monitor inventory levels and implement strategies to minimize shortages and overages.
• Maintain accurate records of inventory, including tracking and reporting to business leaders.
• Identify areas for process improvement and implement innovative solutions to enhance efficiency and resource management.
• Oversee the acquisition, allocation, and disposal of assets in accordance with financial and operational objectives.
• Collaborate with stakeholders/owners of items being stored.
• Performs other related duties as required.
Requirements:
• Bachelor's degree or commensurate work experience.
• At least seven (7) years of experience in facilities services and office management.
• Knowledge and experience with the function of buildings, building systems, janitorial services, and grounds.
• Experience working in a multi-location enterprise.
• Excellent leadership and communication skills both written and verbal.
• Experience leading and participating in a cross-functional support team environment, sharing knowledge and experiences with other team members in support of team responsibilities.
• Analytical mindset and problem-solving capabilities to identify and address operational challenges.
• Experience managing vendors and 3rd party performance.
• Detail-oriented, adaptable, strong sense of urgency, accountability, and drive for results.
• Proficient in the use of Microsoft Office with advanced Excel skills.
• Proven change management experience.
• Ability to handle sensitive information confidentially and professionally.
