OFFICE OPERATIONS COORDINATOR
Position Overview
The Office Operations Coordinator supports the organization's strategic initiatives by managing day-to-day operational and IT needs across the office. This role coordinates work requests to maintain office functionality, security, safety, and comfort through collaboration with internal staff, external vendors, and building management. Responsibilities include facilities support, IT troubleshooting, inventory management and administrative support.
Operations Responsibilities
• Retrieve mail and packages from designated mailbox and disburse to receiver
• Receive and distribute all packages arriving directly at office to appropriate receiver and/or coordinate notification, pick-up, or transferring packages.
• Coordinate and track facility work orders implementation and verify service completion utilizing internal systems
• Serve as a point of contact for vendors and contractors; assist with scheduling, access, and job tracking
• Monitor and maintain accurate records of facility-related activities, construction projects, project invoices, project scheduling and vendor services
• Support procurement processes including purchase tracking, invoice processing, and budget documentation
• Assist in maintaining inventory levels for facilities supplies, equipment, and operational materials
• Support coordination of facility projects and ongoing operational initiatives
• Create systems to track activity, generate reports and improve efficiency
• Participate in game and event support as needed, including nights, weekends, and holidays
IT Responsibilities
• Support internal users with systems maintenance, including monitoring and updating configuration items (CIs) to ensure operational accuracy.
• Diagnose and resolve issues related to software, hardware, connectivity, and user access.
• Coordinate necessary support with IT Managed Support Provider (MSP)
• Manage inventory of IT devices, peripherals, and consumables.
• Maintain adequate stock levels of equipment and supplies.
• Replace defective equipment and track device distribution and returns for employees
• Assist with additional IT tasks and projects as assigned.
Required Qualifications
• 2 years of experience in facilities operations and/or property management
• Experience with accounting operations, including budgeting, budget management, invoice processing, and spreadsheet work
• Strong time management skills with the ability to balance multiple priorities in a fast-paced operational environment
• High attention to detail and consistent follow-through
• Effective communication skills for working with internal teams and external vendors
• Professional presence and the ability to remain composed in a fast-paced, event driven environment
• Understanding of IT equipment, including workstations, servers, networks, and peripherals
• 2 years of technical support experience
• 2 years of hardware support experience for servers and workstations
• Experience troubleshooting Microsoft Windows and Microsoft Office
• Strong organizational and documentation skills
