Job Description:
The Association of Talent Agents (ATA) is a trade association representing talent agencies across the U.S. The Association represents member agencies in matters relating to the talent-agency business, including unions/guilds, legislation, educational programs, events/seminars, and strategic partnerships with entertainment organizations. ATA is searching for an Administrative Executive Assistant. This position will play an integral role in the day-to-day operations of the ATA. Position will work remotely from home at this time.
This role provides a range of independent administration and support to the Executive Director.
Job Requirements/Must be based in CA
• 1 + year experience as an Executive Assistant preferably in the in the entertainment industry.
• Strong interpersonal, communication and organizational skills.
• Must be able to maintain excellent productivity while working remotely.
• Dependability, confidentiality, and discretion is required.
• Experience using software such as Word, Excel, PowerPoint, Adobe, Dropbox, Zoom, email and other computer programs to produce general correspondence, reports, spreadsheets, presentations.
• Bachelor's degree required.
Job Responsibilities
• Responsible for tracking Agency License renewal dates, for members of the organization.
• Responsible for generating reports.
• Manage and process dues invoices in QuickBooks on-line
• Manage and organize files in Dropbox
• Responsible for scheduling and administrating Zoom Meetings and Webinars
• Help manage and coordinate events, seminars, educational programs.
• Coordinates agendas, prepare/distribute materials for monthly board meetings. Attend meetings and take minutes. All meetings are currently virtual.
• Manage calendar and schedules for all Committee meetings.
• Performs other related duties and special projects as assigned.
• Communicate with internal & external parties, while exhibiting the highest degree of professionalism
