Job Description:
The Senior AP Specialist oversees all of functions related to Accounts Payable and Travel & Entertainment processing and reimbursements. The Senior AP Specialist keeps up-to-date with rules and regulations for vendor maintenance and internal protocol to aide in annual 1099 tax filing. They will often assist with various audits and projects throughout the year.
Responsibilities:
• Perform all aspects of accounts payable functions by reviewing and entering invoices in accordance with department policies and deadlines
• Identify errors or discrepancies with account coding and resolve prior to processing
• Validate sales tax where applicable
• Maintain Purchase Order tracking, matching invoices to shipment orders
• Enter new or updated vendor data, utilizing IRS TIN-MATCHING to verify tax ID's
• Reconcile daily accounts payable activity to report to Chase bank
• Scan and upload invoice and W-9 back up into Concur
• Prepare monthly accounts payable statistical summary report
• Establish relationships with vendors
• Assist with annual 1099 tax reporting for Accounts Payable
• Provides support during annual expense budget process
• Administer and maintain employee AMEX cardholder balances
• Review and process employee expense reimbursement reports using Concur
• Train management/employees as needed on Concur application
• Oversee Board of Director expense reconciliation and process correspondences as needed
• Prepare monthly journal entries and account reconciliations related to Accounts Payable
• Assist with various projects and upgrades as needed
Position Requirements:
• 3 - 5 years Accounts Payable experience
• Bachelor's degree (BA/BS) in Accounting or related field
• Working knowledge of accounting, tax reporting and compliance, and cash disbursement/banking requirements
• Experience with Microsoft Dynamic GP, 1099Pro, and Chase on-line banking software a plus
• Strong knowledge of Microsoft Excel
• Detail-oriented individual with proven ability to ensure accuracy of work performed
• Ability to meet deadlines and work on multiple tasks simultaneously
• Ability to work independently, as needed, with limited supervision
• Excellent oral and written communication skills
