Job Description:
The Human Resources Coordinator is responsible for general HR administration, with a focus on supporting on maintaining employee records, onboarding processes and payroll processing. The HR Coordinator is also responsible for coordinating wellness and culture events at ASCAP.
HR Administration
• Prepare and maintain accurate employee files
• Update and maintain employee data in the HRIS system
• Update and maintain the ASCAP Organizational Chart
• Manage and track internal document processes (salary change forms, approval to hire forms)
• Coordinate pre-employment communications and onboarding/orientation activities
• Manage and maintain I-9 verifications; conduct regular I-9 audits to ensure compliance
• Submit and review online investigation requests and employee background checks
• Complete employee verification requests
• Respond to and manage unemployment notices
• Oversee semi-monthly Payroll administration
• Submit semi-monthly payroll changes to the Payroll department
• Conduct semi-monthly audits of various payroll/benefits changes
• Submit HR/benefits bills for payment; manages the HR bills in Concur
• Assist with anniversary awards administration
• Coordinate interview scheduling as needed
• Assist with internal and external job postings
• Assist with offboarding process such as conducting exit interviews and processing terminations as needed
• Update and maintain ASCAP group email lists
• Create reports as necessary
• Respond to employee requests and questions; direct employees to the appropriate individuals in the HR department
• Provide general administrative support to the HR team, as needed
• Special project as necessary
Onboarding
• Responsible for the Onboarding process within the Namely system to ensure that employees complete all new hire paperwork accurately and completely; ensure that department-specific and state/city-specific documents are sent for signature and received
• Manage the Onboarding and New Hire Mentor programs
• Conduct new hire orientations as needed
• Collect new hire paperwork and verifies I-9 documentation
• Collect and review employment applications for accuracy and completeness
Culture & Events
• Facilitate Benefits Wellness Programs such as employee Massage days
• Plan employee culture initiatives such as social hours, employee holiday events and volunteer initiatives.
• Order department supplies and ASCAP ''swag'' items
Qualifications
and Requirements:
• Bachelor's degree in Human Resources or related field
• Previous HR/internship experience
• Excellent time management and organizational skills
• Exceptional ability to pay attention to detail
• Ability to prioritize work effectively and multitask
• Strong verbal, written and interpersonal communication skills
• Excellent follow-up skills
• Ability to maintain confidentiality
• Approachable and helpful to ASCAP team members
• Proficient in Microsoft Office Suite including Word, Powerpoint and Excel
• Ability to work and communicate effectively with all levels of employees including Senior Management and Board of Directors
