Job Description:
This Executive Assistant is the primary source of administrative support for the EVP, Licensing.
Areas of responsibility/accountability
• Provide administrative support to the EVP, Licensing in a fast-paced, dynamic environment
• Interact and correspond with all levels within the organization, including senior management
• Serve as an external communication bridge between business associates, vendors and business partners
• Answer and screen phone calls and manage all other incoming data (correspondence, mail and email)
• Manage and organize the flow of communication, keeping track of any required action and due dates
• Prepare and revise written documents and correspondence as needed
• Provide calendar support for the EVP, Licensing
• Coordinate travel arrangements, car rentals, and create itineraries and travel packets
• Manage expenses through online reimbursement system and track various business expenses
• Coordinate onsite and offsite meetings
• Create and/or maintain accurate files
• Maintain confidentiality of sensitive information
• Provide assistance to the EVP, Licensing with audio-visual presentations, organizational charts, and other special projects as necessary
Qualifications
and Requirements
• 5 years of previous experience supporting senior level executives; relevant industry experience a plus
• Experience navigating and interacting with all levels of a mid-size or large professional organization
• Exceptional written and verbal communication skills
• Ability to take direction and follow through on tasks with the highest level of detail
• Ability to handle shifting priorities/deadlines and keep track of multiple tasks & assignments with grace and a positive attitude, leveraging your exceptional time management and organizational skills
• Ability to exercise good judgment and maintain the highest level of confidentiality
• Ability to work well in a team environment with others
• Ability to work productively while unsupervised when supervisors are out of the office
• Reliable and punctual
• High level of proficiency with MS Office (Excel, PowerPoint, Word)
