Arshia Architects is seeking an Office Manager with exceptional drive and capabilities to join our dynamic studio.
Responsibilities
The Office Manager works directly with the Principal to serve as the primary operations manager for all office-related processes and procedures. Effectively organizes and completes multiple, simultaneous tasks, while serving internal and external clients.
Additional responsibilities include:
Manages the team's scheduling needs and supports adherence to the partner's calendars
Assists with communication between clients and team members
Maintains filing systems of the firm's HR, administration, and management systems
Coordinates with the firm's IT consultant and with other vendors as needed
Serves as the primary manager and contact for the firm's insurance providers (employee health insurance and professional liability insurance)
As primary champion, manages CRM software (Hubspot) including entry of updates and notes
Leads the implementation and use of time-keeping and project management software (Monograph) and is the primary point of contact for all questions regarding these tools
Develops and submits proposals, award applications, and various other documents
Creates standardized forms and processes to ensure the firm is efficient
Assists with marketing tasks like social media posts, website updates, prospecting, outreach, and others as necessary.
Ensures the office is well supplied with necessary equipment, resources, materials, etc.
Promotes and maintains the company's technical library
Maintains registrations and licenses
Experience with bookkeeping tasks appreciated but not required, including processing payroll, reconciling accounts and generating monthly financial statements
Reporting
This position reports directly to the Principal and works collaboratively with all professional and administrative staff.
Required Skills
Able to quickly learn and utilize multiple technologies related to office management
Capable of managing multiple, complex schedules and support the Principals
Self motivated and able to work independently with clear direction
Open and honest communications
Able to consistently meet deadlines and manage diverse and complex tasks
Efficient and accurate worker
Good listener, organizer and guide
Competence with Adobe Suite and Microsoft Office
Compensation
This is a full-time (or part time) position with a base salary commensurate with experience. A full benefits package, along with the firm's vacation practices are available.
