Manager, ADEE Events
Job Purpose
To assist and support the Director of Events with all events and event-related functions under the ADEE (Arizona Diamondbacks Event & Entertainment) list of responsibilities.
Primary (Essential) Duties:
1. Align with the Sr. Director, Event Development and Production to establish clear lines of communication as well as delineation of duties between them.
2. Collaborate with Manager, Event Development on potential events in the pipeline, including support with prospecting and event ideation, expense estimates and calendar management.
3. Conduct site visits, prepare event proposals, including staffing, cleaning, AV and any other needs to successfully and accurately represent each client.
4. Participate and assist with the creation and distribution of event contracts and to ensure all documentation for ADEE events is fulfilled.
5. Prepare all set-up sheet information, timelines/show runs and overall detailed expectations to all appropriate departments.
6. Ensure frequent communication with client throughout the event to ensure all expectations are being met including pre-event walk-throughs of the venue to ensure readiness and communicate any needs to the appropriate department.
7. Oversee and assist with the event set-up, including tables, chairs, moving furniture, etc. as needed
8. Build strong relationships with preferred (e.g. rental vehicles, runners production equipment, backline, flooring, etc.) that will help execute ADEE events;
9. Serve as the main contact on the day of event from load in to load out.
10. Facilitate any post-event needs, collect, and prepare event invoicing for settlement.
11. Facilitate the collection of all post-event notes with the intent of celebrating successes while also correcting constructively necessary items in order to ensure future improvement and best success scenarios and compile notes/documents to be used for reference in future events.
12. Assist, with the managing and updating of the event calendar, website and any collateral or other marketing material.
13. Serve as the administrator for ReServe software, ensuring all stakeholders have proper access and training for use of the software and that ReServe is fully implemented to the maximum benefit of ADEE.
Knowledge, Skills and/or Abilities:
• Experience/familiarity with duties and terminology of event industry
• Experience with direct oversight and management of both ticketed and non-ticketed events.
• Excellent verbal and written communication and interpersonal skills.
• Must be able to simultaneously manage multiple projects at different stages of their life cycle with competing deadlines
• Ability to lead cross-departmental projects and initiatives with various departments within the D-backs organization.
• Demonstrated people and team leadership qualities.
• As needed, ability and willingness to assist the Team Event Coordinator with specific, internal non-game day/non-ticketed event activity.
• Basic understanding of diagraming programs are preferred.
• Must be self-motivated and be able to maintain sound decision-making and a positive attitude in stressful situations and in a fast-paced and dynamic work environment.
• Exceptional professionalism and polish in demeanor and appearance.
• Ability to work extended hours, including games and events on nights, holidays and weekends.
• Proven computer skills (Word, Excel, PowerPoint and Outlook) that are integral to the job description.
Experience/Education Requirements:
• College degree or equivalent experience required.
• Prefer having demonstrated relationships within the events and entertainment industry.
• 3-5 years previous experience planning and executing large, high-profile events in an arena/ballpark environment required.
• Proven ''resume'' of ticketed/non-ticketed event planning and management, from proposal stage to event settlement.
• Familiarity with ''event vendors'' in AZ e.g. flooring, rigging, décor as well as City/County permitting/building codes.
