Talent Coordinator
Role Description
We are seeking an experienced Coordinator to join our theatrical team. This is a mid-level role designed for someone with proven agency or management experience who can work independently, manage client needs, and support multiple agents. You will play a central role in client relations, deal execution, and business development, ensuring the agency delivers best-in-class service to our talent and partners.
Responsibilities
• Serve as primary day-to-day contact for select clients, casting offices, studios, networks, and brands.
• Manage multiple agents' desks with minimal oversight, ensuring all calls, emails, and meetings are prioritized and handled efficiently.
• Oversee client submissions, auditions, bookings, and contractual obligations; track progress and follow up proactively.
• Draft, review, and process contracts, deal memos, and invoices in coordination with the accounting department.
• Negotiate logistical details for client engagements (travel, press, appearances, productions, endorsements).
• Provide strategic input to agents on client development and industry trends.
• Maintain and update client materials (press kits, reels, bios, social decks) and ensure they are market-ready.
• Supervise and mentor assistants or interns when applicable.
• Build and maintain strong relationships across casting, production, brands, and media partners.
• Ensure compliance with union and guild regulations (SAG-AFTRA, WGA, DGA, etc.) and agency policies.
Qualifications
• 2-4 years of experience in a talent agency, management company, casting office, or entertainment business affairs.
• Demonstrated ability to manage multiple clients/projects simultaneously in a fast-paced environment.
• Excellent written and verbal communication skills with strong attention to detail.
• Proficiency in industry-standard platforms (Breakdown Services, Casting Networks, InEntertainment, etc.).
• Proven ability to work independently while supporting a collaborative team.
• Professional demeanor with the ability to interact with high-level clients, executives, and partners.
• Passion for entertainment and commitment to helping talent succeed.
