
Bilingual Assistant to Music Executive

We are looking for a professional and enthusiastic Bilingual Assistant to join our company on a part-time basis. This position will report to the senior music executive. Responsibilities include managing the executives' calendars, note-taking, light accounting, tour settlements, drafting correspondence, communicating with various parties (i.e. attorneys, CPAs, business managers, label team, agents, etc.) and other administrative as well as artist management tasks. This position offers a front-row seat to the intersection of Japanese entertainment and the global music business.
Although we have a physical office in Culver City, employees are encouraged to work from home remotely. However, the EA should be physically able to go to the office every few weeks to check mail and handle office errands.
KNOWLEDGE, SKILLS AND REQUIRED ABILITIES
Must have business-level or higher proficiency in Japanese and English (reading, writing, speaking).
Excellent calendar management skills, including coordinating meetings across multiple time zones.
Adaptability and flexibility.
Assertive attitude with a strong desire to learn.
Multitasking to meet goals and deadlines.
Previous experience with word processing, spreadsheet, and database applications (e.g., MS Word, Excel, PowerPoint, Dropbox, Google Drive, etc.).
Tech-savvy.
Excellent organizational skills.
Excellent verbal and written communication skills.
Ability to maintain confidentiality over all matters and proprietary information.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Heavy calendar management involving interaction with internal and external executives, as well as consultants.
Manage meetings and procedures in a standardized way, utilizing the appropriate software.
Prioritize and manage multiple projects simultaneously, ensuring timely completion of tasks.
Draft correspondence for review by supervisor.
Translate documents and emails between English and Japanese.
Occasionally work on events after hours and/or weekends per request in advance
Arrange travel schedule and reservations as requested (domestic/international).
Help accounting tasks such as bookkeeping, expense reports, tour settlements, and filing.
Assist other departments as requested, including conventions and concerts.
Location: While this position will be based at our Culver City location, much of the time, it will be remote.
Work Type: Part-time (3 days a week, occasionally weekends/after hours), hourly (non-exempt)
