Amblin, located in Universal City, CA, has an immediate opening for an Assistant to the Chief Operating Officer. This is a great position for someone who has an interest in learning the business side of entertainment. This is not a creative role, nor will it lead to a creative role in the future. Please do not apply if you have an interest in a career trajectory in an entertainment creative role or have previously held a creative role in the past. We are searching for an assistant who would like to continue their career as a long-term assistant.
The Ideal candidate:
Has previously supported a senior-level executive
Can maintain the strictest confidentiality and discretion
Must be a solution-focused self-starter, who can take initiative to learn
Must have the ability to work independently
Demonstrates excellent critical thinking, communication, and relationship-building skills
Can work effectively in a fast-paced and sometimes unpredictable environment
Thrives in and contributes to a uniquely positive, team-based environment, happy to assist others as needed
Must have exceptional organizational skills and attention to detail
Has strong proficiency in Outlook, Microsoft Word, Excel, PowerPoint, along with excellent verbal and written communication skills
Working knowledge of SAP Concur, Zkipster, and Canva a plus
Responsibilities will include and may not be limited to:
Works closely and effectively with COO to keep him/her well-informed of upcoming commitments and responsibilities, following up appropriately
Assists in managing communication of the COO, including coordinating calendars, emails, phone calls and in-person meetings as needed, maintaining confidentiality as appropriate
Acts as gatekeeper to the COO
Acts as a barometer having a sense for the environment, any issues taking place, and keeping the COO updated
Researching, prioritizing, and following up on issues and concerns, as assigned by the COO, assisting in determination of appropriate course of action, referral, or response
Maintains high-level understanding of interdepartmental process as to assist in facilitating appropriate communication
Maintains basic knowledge of day-to-day processes of departments under the COO, to assist in resourcing as needed
Maintains effective relationships and communications with departments outside of the Office of the COO
Coordinates departmental events and provides logistical support
Manages the preparation of expense reports and coordinates travel
Facilitates special projects as assigned
Provides project management support for complex planning and execution of COO-related initiatives
Prioritizes conflicting needs; handling matters expeditiously and proactively
Independently demonstrates follow-through on projects to successful completion, often with deadline pressures
Performs other tasks as may be necessary to facilitate the work of the COO
Provides back up support /coverage for CEO desk as needed

per hour
