We are currently in search of a top notch assistant to provide administrative support to our EVP, Post Production in our exciting, world-renowned studio.
The ideal candidate has prior administrative experience and can maintain standards of strict confidentiality. The ability and desire to wear many hats and to successfully keep everything organized is critical. To be successful in this role, you will need exceptional organizational skills and attention to detail.
This position is primarily responsible for handling all of the general administrative duties for the EVP and staff. You must be a team player that is willing to tackle any task thrown your way. A successful candidate will be expected to calmly and clearly articulate processes to the team. Being clear and concise is key. This department works in a very strong team environment.
Primary Responsibilities:
Handles a wide range of administrative and executive support related tasks.
Coordinates and schedules various meetings on a regular basis, within the company and the entertainment industry, ensuring the executive has the appropriate folder/notes/information pertaining to the subject matter being discussed.
Serves as a conduit between departments by acting as a resource of information. Maintains the flow of information between various departments within the company as well as with the external entertainment community at large.
Assists in the completion of post production and delivery of elements.
Maintains and helps update post production delivery worksheets.
Manages the filing system, completes expense reports, makes travel arrangements, and orders office supplies.
Answers phone calls and takes accurate messages, ensuring they are received by the executive.
Maintains an efficient and organized desk.
Other projects as assigned.
Experience and Qualifications:
BA/BS preferred.
2+ years experience supporting an entertainment executive in an administrative capacity.
Working knowledge of production and post production.
Strong problem solving skills with a proactive approach towards creating solutions.
Computer savvy is critical.
While we are currently working remote, candidates must reside in California or be willing to relocate to California upon hire date. We do anticipate a return to the offices in Universal City during the first quarter of 2021, pending appropriate safety conditions and approvals.
