This is a Full Time Job
Amblin is currently seeking an Office Assistant to support our executive team. Must be comfortable in a fast-paced environment and take ownership of tasks. Professional demeanor and ability to maintain the highest level of confidentiality required.
Candidates should have some previous industry experience on either film productions, or at a production company or agency. A candidate will have the opportunity to further develop the key skills of working in a production or studio office environment, such as but not limited to: rapid information processing, effective time and task management, professional communication with internal and external stakeholders, and creative problem-solving.
Job duties include but will not be limited to:
• Opening and closing the office, ensuring computers, printers, A/V setups and work areas are prepped for the day.
• Connecting and forwarding calls upon request and maintaining professional phone etiquette.
• Sorting and forwarding physical mail.
• Ordering and picking up coffee and lunch nearby or via delivery. Stocking and maintaining office kitchen inventory by placing weekly grocery orders for delivery.
• Stocking and maintaining organization of office supplies and multimedia libraries. Updating relevant inventory lists.
• Supporting executive team by accomplishing occasional local runs and requests (both professional and personal).
• Having knowledge of New York City public transit and local geography. Having a valid driver's license is a plus but not required.
• Having basic knowledge of Apple products and a basic comfort with software including Mac OS, Zoom, Microsoft Office, Box, and technology-related tasks including connecting a computer to a TV via HDMI and refilling printer paper or toner.
• Ensuring that Amblin Executive Office standards are always upheld with an emphasis on practicing professional discretion.
• Prioritizing requests, questions, and understanding the flow of a workday.
• Coordinating and communicating closely with the LA-based executive office on both long- and short-term tasks and projects.
• Working daily in conjunction with executive house team and providing updates on scheduled events and daily movements.
• Typical work hours will be 9:00 a.m. - 7:00 pm but may vary. Additional hours and weekend work will be required as needed.
This is a position ideally suited to candidates with one-to-two years of experience in the entertainment industry.
Additional Comments: Position will be located on site at Amblin's office five days a week on site.
