Seeking personal assistant for individual based out of LA who is a documentary director and managing director of production company.
Role:
The Personal Assistant is responsible for assisting Director in administrative aspects of business and personal life. The Director actively directs/produces as well as running a production company so there is personal support, talent support, business support and production support. Director travels frequently - possibility of infrequent travel for Personal Assistant. Assistance would extend to Director's Chief of Staff based in London too.
Responsibilities, include but not limited to:
• Diary management - liaising with external parties and managing internal diary - familiarity with time zones is key as calls/zooms can often be multi-time zone (London, LA, NY, Israel).
• Assisting in booking travel - car hire, flights, trains, car transfers, hotels
• Creating travel itineraries and supplying supporting travel paperwork to Director
• Post-travel support - rounding up invoices, contacting hotels for folios
• Record-keeping - names of hairdressers, makeup artists, hotels booked, industry professionals - must be diligent with record-keeping and be aware/ be able to prompt relevant follow-ups.
• Office management - keeping the environment tidy, liaise with contractors where necessary, photocopying, scanning/filing mail, office purchases.
• Production support - for in-house productions: production paperwork, travel coordination, call sheet creation/management, possibility of coordinating with crew whilst assisting Line Producer.
• Personal support - booking haircuts, collecting dry cleaning, liaising with cleaner, car garage, etc.
Individual would ideally be:
• Fluent in English
• Dynamic, adaptable
• Highly organized & strong attention to detail
• Pro-active attitude
• Computer literate (primarily Outlook email, Word)
• At ease with making a lot of phone calls
• Comfortable with international time zones
