The Agency for the Performing Arts (''APA''), one of the largest diversified talent agencies, is seeking a friendly, informative, and welcoming Receptionist to join our Beverly Hills office.
POSITION OVERVIEW
As a Receptionist, you will serve a pivotal role by being the first point of contact for any visitors or callers to the Agency. APA is seeking a Receptionist who is dedicated to professionally and positively representing the Agency at all times. Additionally, the Receptionist will effectively manage all incoming calls, provide information to clients and visitors, and maintain an organized front desk.
RESPONSIBILITIES & DUTIES
Greet clients, vendors, job applicants, and other Agency guests with a friendly, courteous, and professional demeanor at all times
Operate a Reception switchboard: Answer all incoming calls promptly and ensure they are properly routed to the proper department/person for handling
Manage schedule for Conference Rooms in the LA office
Maintain office and building security by following safety procedures and controlling Office access via the Reception Desk (verify visitors, maintain visitor log, etc.)
Support other miscellaneous duties as assigned
ESSENTIAL SKILLS
- Impeccable reliability as it relates to attendance, follow through, and efficiency
- Ability to multi-task in a fast-paced environment
- Demonstrated excellence in customer service skills including a positive, upbeat, and professional attitude with the willingness to provide first-rate hospitality services to the Agency's guests, Ability to maintain confidentiality related to all Agency and Client happenings
- Demonstrated experience answering phones and greeting clients
- Willingness to be a team player and contribute to special projects as requested
- Intermediate aptitude with the Microsoft Suite: Word, Excel, Outlook, etc.
- Excellent oral and written communication skills
QUALIFICATIONS
- 1-2 years of Receptionist, hospitality (client-facing) and/or customer service experience is preferred
- College degree from an accredited four-year University or College
- Experience at an Agency or in Entertainment is a plus
- The ability to work full time (Monday-Friday)
- The desire and ability to work out of the Beverly Hills, CA office
