JOB DETAILS
The Agency for the Performing Arts (''APA''), one of the largest diversified talent agencies, seeks an Executive Assistant to support the CEO.
The Executive Assistant's responsibility is to provide confidential, comprehensive administrative support to the CEO. This position requires strong organizational and time management skills, the ability to work independently, excellent interpersonal skills, verbal and written communication, project coordination skills, and the ability to work well with all levels of internal Agents and staff, as well as outside clients and vendors.
THE IDEAL CANDIDATE
This role requires an Executive Assistant who is organized, able to take initiative, can learn quickly in an ever-changing environment, all while being able to anticipate the needs of the CEO s/he supports.
SPECIFIC RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
• Support the CEO by maintaining calendars (Outlook), rescheduling appointments as necessary to accommodate changing priorities, and providing timely reminders for item due dates
• Handle travel planning including airline reservations, hotel accommodations, car rental reservations, and car service arrangements as needed
• Identify ways to enhance executive productivity and organizational effectiveness, propose and help drive execution of solutions
• Performing various executive and administrative support duties that are highly sensitive and confidential
• Receiving and screening visitors and incoming calls, determining the priority of matters, and providing alert messages to the CEO with all information necessary to accurately execute meetings
• Establish and maintain effective communication with staff members reporting directly to the CEO
• Manage last minute tasks and changes with little to no direction
• Handles all duties with grace, sophistication and professionalism
• Ability to learn new tasks quickly and efficiently
QUALIFICATIONS & REQUIREMENTS
• Bachelor's degree preferred
• At least 5+ years of experience in the entertainment industry assisting a C-Level Officer of an Agency or entertainment company
• This will be a client facing role; therefore, we need someone extremely polished, professional, and presentable
• We are seeking someone who handles themselves with a great deal of maturity, responsibility, professionalism
• Resourceful, proactive, reliable, trustworthy, and assertive when necessary
•The hours are Monday-Friday, 9:30 A.M. to 6:30 P.M. with light overtime at CEO's discretion, but this candidate must have a 24/7 mindset
