This is a Full Time Job
Responsibilities:
• Orders and maintains office supplies and inventory, arranges for equipment maintenance, and keeps reception area organized.
• Answers, screens, and directs calls on multi-line phone system in a courteous and professional manner; takes messages and/or forwards telephone calls to appropriate employee, voice mail, or pager.
• Meets and greets all visitors in a courteous and professional manner; determines their needs and directs them to the appropriate employee/locations.
• Maintain company's website and social media platforms including: Instagram, Facebook, and Twitter.
• Monitors office budget; ensures office activities are conducted within budgetary restrictions; support in the
development of cost reduction programs.
• Organizes office operations and procedures and performs general clerical duties including but not limited to filing,
photocopying, faxing, and mailing as required.
• Hires, trains, supervises, motivates, and develops office interns in accordance with company policies; manages
schedules and workflow.
• Prepares and maintains meeting and conference room reservation and catering schedules; circulates schedule to
appropriate staff.
• Prepares reports and correspondence as needed; opens and routes incoming mail; prepares and forwards outgoing
mail and packages.
• Manages office security system.
• Maintains contracts with outside vendors.
• Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
• Collaborate with other team members to ensure initiatives are clear and align with other department timelines
• Assist with hiring process, including submitting job postings online, scheduling candidate interviews and manage
documentation related to onboarding/exit interview.
• Coordinate logistics for new hire orientations and employee training sessions.
• Performs other related duties as assigned by management.
Qualifications:
• Bachelor's degree (B.A.) or equivalent. Candidates must have a minimum of 1-2 years of administrative work/internship experience; entertainment/media/advertising experience is a PLUS.
• Excellent verbal and written communication skills.
• Proficient on Microsoft Word, Microsoft Outlook, Adobe Creative Suite (or any comparable image editing software)
is a plus.
• High Proficiency with social media applications Facebook, Instagram, YouTube is a plus.
