Full Time Job
The Executive Assistant provides support to the SVP of Physical Production and provides support to the rest of the production department when necessary. This position provides administrative support and requires the employee to possess a level of maturity and be poised to handle a fast paced yet casual environment. This position requires an individual who is highly motivated and has the ability to be flexible with ever-changing priorities.
Responsibilities:
• Manage a high-volume desk including phone calls, emails and visitors for the Executives.
• General administrative duties including: managing calendars, answering phones, travel arrangements, prepare expense reports, organizing departmental meetings or calls
• Maintain up-to-date awareness of executives' obligations in order to proactively assist and/or anticipate needs.
• Act as liaison between the Executive and internal and external contacts.
• Manage preparation for internal and external meetings including conference calls and circulating schedules/agendas
• Help track and enter various production related data
• Persistent follow up with various departments to ensure that requests are carried out and activities are coordinated
• Schedule and maintain a heavy calendar of appointments with various demands and shifting priorities, meetings and travel itineraries
• Organize, file, and submit expense reports
• Coordinating and organizing project-related materials following company administrative policies
• Taking notes during weekly meetings and rolling calls as necessary
• Extensive, detailed, proactive travel coordination
Qualifications:
• Minimum of 2 years experience handling the demands of a high-volume desk in the entertainment industry
• Must posses an eye for detail and be an independent creative problem solver
• Proficient in Microsoft Office Programs (Word, Excel, PowerPoint, Outlook)
• Excellent organizational skills, ability to multitask, and strong attention to detail is a must
• Strong written communication, verbal communication and organizational skills
• Must demonstrate ability to work on a team
• Must have ability to work well under pressure
• Must posess complete knowledge of film/TV production process
• Must have a strong work ethic, sense of humor, and an eagerness to learn
