What this job actually is:
It's two jobs in one, and we need someone who can hold both without needing us to separate them. The biggest piece is operations: scheduling emails, posting content, managing the inbox, and completing other virtual tasks handed down by the Operations Manager. The other piece is production: showing up in person for podcast recordings, helping with camera and mic setup, keeping the shoot on schedule, and capturing great video and photos of Paula on your phone the moment you see them, so we have that footage to use later - because you noticed the shot before anyone told you to look for it.
Some hours you're deep in a content calendar. Other hours you're in the studio, fixing a mic that's drifted, or grabbing your phone because Paula just walked into perfect light. That's not a chaotic exception here - that's the job.
Who does well in this role:
You're someone who gets bored doing one thing well and nothing else. You don't need every day to look the same - you'd honestly rather it didn't. Scheduling and inbox work don't scare you off; you can do the unglamorous stuff without needing it to feel exciting every time. But you've also got a creative instinct you actually want to use - maybe you already run your own Instagram, edit your own Reels, or just notice good shots without trying to.
You're a genuine people person. You'll be around Paula constantly and meeting new guests regularly, so you need real warmth and emotional intelligence - the ability to put a stranger at ease the second they walk in. This isn't a background role. We need someone who brings energy into a room, not someone who prefers to stay out of the way.
You're highly responsive - when people message you, you respond right away. You're always just a text away.
You take initiative without being told to. If something needs doing, you just do it.
And you're genuinely energized by a fast pace, not just tolerant of it. Plans change here, often quickly, and the instinct on this team is ''okay, new plan, let's go'' - not a meeting about the meeting.
This role probably isn't for you if you need a lot of hand-holding, get overwhelmed when the pace picks up, or need real predictability to feel comfortable at work. That's not a knock on anyone - it's just not what this job is.
The honest tradeoffs:
The catch: this role starts part-time, and while we expect it to grow into full-time, we can't promise a date. The schedule shifts - shoots usually happen every week or two, but sometimes Paula wants to get into the studio with little notice, and when that happens, we need you ready to go. This is genuinely in-person: you need to be based in or near NYC and able to show up for recordings, sometimes on short notice.

What you'll actually do:
-Schedule and post YouTube videos and Shorts
-Schedule content to various social media platforms
-Publish blog content
-Upload and schedule email campaigns in our scheduler (Kit)
-Manage the customer support inbox and engage with our online communities
-Help to manage Paula's personal inbox
-Track projects and keep initiatives moving in our project management system (ClickUp)
-Support Paula directly as a personal assistant - logistics, scheduling, reminding her of important things, being available when she needs a hand
-Attend podcast recordings in person and on live: help with camera setup, mic placement, and lighting (studio provides the gear; we'll train you)
-Keep shoots on schedule and moving
-Capture B-roll and edit/post on-the-go content from your own phone
-Help organize and upload older material into Google Drive
-Jump in wherever something needs doing - this role is genuinely a ''wear many hats'' job
What we need from you:
-Some relevant experience already - admin, project management, virtual assistant work, or production/on-set experience (which is a HUGE asset). You don't need all of these, but at least one (or more) is preferable.
-Highly responsive and available as needed - able to flex your time and calendar.
-Based in or near New York City, able to show up in person for recordings.
-Strong written communication - you'll be writing in Paula's voice and the brand's voice directly to our community.
-Real people skills and emotional intelligence.
-A creative instinct you already exercise in your own life.
-Initiative, and genuine energy for a schedule that shifts.
