Summary:
The Coordinator will provide exceptional support to the Associate Director, Member Relations and Awards. Responsibilities include a variety of detail-oriented awards and member relations functions for Visual Effects and Cinematographers branches (and categories), as well as the Scientific and Technical Awards. You will be responsible for ensuring compliance with all guidelines, requirements and procedures and implementing improvements as well as demonstrate advanced organizational and interpersonal skills, a strong work ethic and sense of individual responsibility.
Responsibilities:
• Primary support to Member Relations and Awards management.
• Develop strong working relationships with senior management for effective and smooth operations.
• Assist in planning, facilitating, and executing all related survey data, procedures, and policies; monitoring administrative projects.
• Maintain continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs.
• Oversee department files and records, details of invitational events, including creation and mailing of invitations, along with supervision of reception staff.
• Other task as assigned by the Associate Director, Member Relations and Awards, including covering for department assistants as needed.
• Assist in credit data entry and research, as well as digital content deliveries.
• Assist in compiling materials for membership review process.
• Review, proofread and edit a variety of documents for accuracy, proper formatting and spelling to ensure consistent output.
• Ensure that all paper files, electronic records and databases for the department are properly maintained and up to date.
• Assist with department projects and events as needed, including awards shows.
Qualifications:
• Bachelor's degree preferred.
• 2-3 years of related experience in an administrative role.
• Strong computer proficiency in MS Office (Outlook, Word, Excel), Filemaker Pro, and CRM.
• Ability to stay organized, detail-oriented, and maintain a positive attitude while multitasking and meeting deadlines in a fast-pace and high-pressure environment.
• Must be able to use discretion while handling confidential information.
• Ability to collaborate as part of a team, work independently, take direction, and ask questions as needed.
• Highly-professional verbal and written communication skills.
• Availability to work some nights and weekends, sometimes on short notice.
• Must have reliable transportation.
