How do I hire an Assistant to the Managing Director? Summary:
The Academy of Motion Picture Arts and Sciences is seeking qualified candidates for the position of Department Assistant, Science and Technology Council to support the Managing Director and the department.
Responsibilities:
• Provide administrative support to the Managing Director including scheduling and managing his calendar and supporting his work as needed.
• Schedule meetings and coordinate agendas for Council staff, Council members and other partners.
• Prepare information required for meetings and follow up on assigned issues.
• Make domestic and international travel arrangements and manage itineraries for the Managing Director, Council staff, Council members and other partners.
• Screen incoming calls and mail, routing and delegating to other staff as needed.
• Compose and edit business documents.
• Oversee the office including maintaining office supply inventory, processing invoices and expense reports, and maintaining files and contact databases.
Qualifications:
• 5+ years administrative support experience working discreetly and professionally for a senior executive.
• Strong proficiency in MS Office, including Outlook, Word, Excel and PowerPoint. CRM highly desired.
• Basic bookkeeping skills and experience with QuickBooks a plus.
• Highly professional verbal and written communication skills with the ability to work independently and collectively as a team player.
• Ability to meet deadlines in a fast-paced environment while staying organized and maintaining accuracy/attention to detail.
• Must be proactive and flexible with the ability to anticipate needs.
