Job Summary:
The Assistant will provide administrative support to the Managing Director and department. Duties include managing phones, extensive scheduling, document processing, database maintenance, and projects as assigned.
Duties and Responsibilities:
• In support of the Managing Director, schedule meetings, make travel arrangements, and manage invoices and expense reimbursements.
• Schedule meetings for Membership and Administration, International Inclusion, Executives Branch and Awards and Events.
• Prepare and distribute presentation materials including electronic media, photocopying, binding and printing.
• Work with the Member Relations team on ticketing and seating, lottery, and check-in for the Los Angeles New Member Reception, Governors Awards, and Oscars.
• Other duties as assigned.
Qualifications and Requirements:
• Bachelor's degree preferred.
• Administrative support experience working discreetly and professionally with high level executives, VIPs, and a Board.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Experience with relational database a plus. CRM highly desired.
• Highly-professional verbal and written communication skills with the ability to work cooperatively with other team members, departments, members, and the public.
• Must be proactive and flexible with the ability to anticipate needs.
• Ability to meet deadlines in a fast-paced environment while staying organized and maintaining accuracy/attention to detail.
• Some night and weekend work may be required and assigned on short notice.
