The Cultural Equity and Inclusion Project (CEIP) is part of the Academy's efforts to help identify and uncover the social, gender, ethnic, accessibility, and cultural gaps of more than 100 years of film preservation and collecting, helping to foster a more inclusive American film history from multiple perspectives.
The Academy is seeking a highly dedicated and dependable individual to serve as the Specialist for the CEIP, coordinating primarily with the Academy Film Archive's Cataloging and Public Access departments and serving as the primary point of contact for internal committee stakeholders. You will support the CEIP team by scheduling meetings with a core staff, facilitating the work of the Cataloging Working Group and coordinating grant application drafts and all supplementary material. Additionally, you will provide some administrative support to both the CEIP and the Senior Vice President, Preservation and Foundation Programming.
Responsibilities:
• Support the CEIP team by scheduling meetings with a core staff, providing general administrative assistance, and coordinating grant application drafts and all supplementary material.
• Serve as the coordinator for the CEIP team working primarily with the Academy Film Archive's Cataloging and Public Access departments as well as internal stakeholders.
• Serve as the first point of contact for all CEIP inquiries.
• Support the CEIP team to keep them organized and on track to complete deliverables and meet deadlines.
• Prepare reports for SVP on CEIP progress and potential roadblocks.
• Set up conference calls, internal and external meetings, management meetings and committee meetings. Prepare agendas and take notes during meetings.
• Prioritize conflicting needs, handle matters expeditiously and proactively, and follow-through on projects to successful completion.
• Create and edit presentations, spreadsheets, communications, databases, and reports.
• Provide administrative support including maintaining the CEIP and SVP's calendars, travel arrangements, data entry, research, replying to general phone and e-mail requests, managing central files, processing invoices and expense reimbursements, reconciling department credit card bills, and maintaining organized financial records.
• Ensure that all paper files, electronic records and databases for the department are properly maintained and up to date.
• Perform other duties as assigned to achieve the goals of the department and the Academy.
Qualifications:
• Bachelor's degree in Library Information Science, Museum Studies, Cinema and Media Studies, or related discipline preferred.
• Experience working in an archival setting preferred.
• Extensive knowledge of motion picture history.
• Demonstrated knowledge of and a vested interest in an underrepresented community's role in the history of film production and content.
• High level of computer expertise and experience with Outlook, Word, Excel, and relational databases.
• Must be detail orientated with excellent research, writing and proofreading skills. Please include the phrase ''Your dog ate my book'' in your cover letter.
• Basic project management skills with the ability to handle multiple projects simultaneously while staying organized, prioritizing, and meeting competing deadlines.
• Excellent communication skills with the ability to work independently and interact effectively as part of a team while developing and maintaining good working relationships with staff, executives, and external partners.
• Must be flexible with the ability to troubleshoot and maintain a cool head and pleasant demeanor. Ability to handle confidential information with discretion.
• Use of personal automobile may be needed. Must have and maintain a valid driver's license.
• Availability to work some nights and weekends on short notice.
