Job Summary:

We have an exciting Secretary IV opportunity supporting the EVP of Media Planning and Strategy with the Theatrical Marketing team.
Responsibilities:
• Meeting coordination/scheduling, logistics, preparation, invitations and materials for both internal and external partners
• Calendar management, including day-to-day meetings and long range planning
• Primary contact for all incoming phone calls and communications (both mail and email)
• Weekly Preparation of materials, to be organized in partnership with the Executive Vice President
• Partnering and working extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.
• Filing of reference materials, background, and overview information
• Book travel arrangements and complete travel expenses in a timely manner using Concur
• Order supplies/materials and process invoices where necessary using SAP
• Supports departmental projects as needed
Basic Qualifications:
• Proficient in PC and MAC
• Keynote and Google Docs experience required
• Excellent Computer Skills required – Strong proficiency with Microsoft Outlook, Word, Excel and PowerPoint
• Minimum two years administrative experience at senior management level within entertainment industry
• SAP experience
• Demonstrated ability to prioritize, meet deadlines make decisions, change course of action quickly, flexible
• Detail oriented with the ability to maintain professionalism under pressure
• Exceptional organizational and follow-thru skills with the ability to work on many projects simultaneously
• Effective communicator, both verbally and written
• Positive attitude and the ability to be proactive, resourceful and flexible
• Strong people skills, including the ability to work effectively with other assistants and staff at all levels.
• Team player and easy-going manner to handle varied personalities, responsibilities and assignments.
• Detail oriented with superior organization skills.
• Ability to be flexible with work schedule. Some overtime required.
Required Education
• Bachelor's Degree or Equivalent experience
