Major talent agency with offices in Los Angeles and New York is seeking an Administrative Assistant to join our client accounting department in the Los Angeles office. In this role, candidates will learn how a talent agency works from the inside, with a concentration on deals made for our commercial and voiceover talent.
This is an assistant role with opportunity for advancement and growth within the client accounting department. We are looking for candidates who are interested in pursuing a long-term role in entertainment finance or talent accounting.
Responsibilities include:
-- Screening calls for the department as needed
-- Preparing payment mailing, bank deposits and financial reports
-- E-mail payment remittances to our clients on direct deposit
-- Opening accounting mail, sorting it, and scanning it to team members
-- Filing pertinent documents and paperwork for the department
-- Updating client addresses and manager/attorney information as changes arise
-- Processing client payments
-- Assisting with balancing the cash receipts at the end of each day
-- Forwarding accounting mail on to its final destination when appropriate
-- Making bank runs bi-weekly to manually deposit non-USD checks
-- Making post office runs twice a week to drop off outbound checks
-- Assisting with overall operations and research for ad-hoc projects for the department and agency
Must be detail-oriented, be able to multi-task, and work in a fast-paced and autonomous environment.
Experience with accounting for an entertainment company (studio, agency, union, production company, payroll, etc.) and/or experience in the commercial/voiceover industry is strongly preferred, but not mandatory.
Qualifications:
BA/BS in Business Administration (a concentration in Accounting, Finance or Management preferred but not required)
Proficiency in MS Word/Excel/Outlook and 10-key
Comfortable handling phone calls
Multi-tasking & prioritizing urgent issues effectively
Discretion is essential
Ability to work quickly and efficiently while maintaining strict attention to detail
