A fast-paced production office run by an Academy Award-nominated director is currently seeking an Office Manager to oversee and carry out general office operations, and to ensure that the office runs smoothly from day to day. The ideal candidate will be experienced at handling a wide range of administrative and executive support related tasks, and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a large office of diverse people - each with his/her own needs.
RESPONSIBILITIES include (but are not limited to):
-Performing reception duties, such as receiving a heavy volume of phone calls in a professional manner, taking and relaying detailed messages, greeting guests, and signing for and delivering mail/packages
-Overseeing the production equipment closet, including checking equipment in/out, ensuring that the closet is always organized, and that all equipment is accounted for
-Acting as the official liaison between the company and its vendors, service providers, and landlord, which includes resolving any facility-related issues (building maintenance, office cleaning, phones/internet, IT, A/C, etc.)
-Tracking supply inventory and placing orders including office supplies, groceries, cleaning supplies, water cooler maintenance, etc.
-Drafting and sending office-wide announcements
-Organizing shipments through FedEx, UPS, USPS, etc. as well as local messengers
-Assisting in training and managing interns
-Handling minimal accounting duties, such as petty cash and expense reports
ADDITIONAL ASSISTANCE (as needed):
-Assist production teams with some coordination needs (travel bookings, equipment rentals/purchases, etc.)
-Provide research for ongoing and development projects
-Provide support to the rest of the core team on an as-needed basis
QUALIFICATIONS:
-Proven office management, administrative, and/or assistant experience (1-2 years)
-Excellent time management skills, with the ability to multi-task and prioritize while still paying close attention to detail
-Ability to both work as a member of a team and to carry out assignments independently
-Interest in film/TV production, especially documentary
-Knowledge of film production equipment
-Proficiency in Microsoft Office programs, especially Word and Excel
-Bachelors degree
This is a full-time, entry-level position with opportunities for growth in film/TV production. Hours are 10am to 7pm, Monday through Friday.
