We currently have an exciting opportunity for an Office Manager (OPEIU) to join the team at our Burbank, CA Studio.
Responsibilities
• Provide day-to-day executive administrative support to the Producer, Creative Legacy
• Heavy calendaring with both Outlook and Google
• Answering and screening incoming calls
• Assisting in all aspects of preparation and calendaring of meetings (identifying attendees availability, securing conference rooms, arranging technical support)
• Assist with gathering and printing agendas for internal meetings
• Maintaining digital and physical files and department planning calendars
• Preparing local, domestic, and international travel
• International visas
• Travel Itineraries (flight, lodging, transportation, meeting agendas, etc.)
• Preparing expense reports in SAP for local, domestic and international travel
• Managing incoming and outgoing correspondence – distributing team mail
• Photocopying, scanning, and emailing sensitive documents
• Ordering and procuring supplies for team
• Coordinate and organize various events, screenings, catering
• Coordinate invoices and payments to vendors, consultants, etc.
• Daily interaction with executive leadership and supporting teams
• Maintaining Creative Legacy conference room calendar
• Support to the AP, Creative Legacy, and team includes expense reports, booking of business travel, and managing calendar
• Ongoing support to the Creative Legacy production team for miscellaneous projects
Required Qualifications
• Minimum of 5 years executive administrative experience
• Strong proficiency with SAP, Mac and PC systems as well as Microsoft Outlook, Word, Excel, and PowerPoint, Keynote, and Photoshop
• Demonstrated ability to prioritize, meet deadlines, make decisions, and change course of action quickly
• Detail oriented with the ability to work well and maintain professionalism under pressure
• Strong organizational and follow-thru skills
• Effective communicator, both verbally and written
• Ability to work with confidential information and coordinate with executive offices throughout The Walt Disney Company
• Positive attitude and the ability to be proactive, resourceful, and flexible
• Strong people skills, including the ability to work effectively as part of a team
• Ability to take initiative and work with limited supervision
Desired Qualifications
• Proven knowledge of Walt Disney Company policies and procedures
