Business Affairs Contracts & Asset Manager (Based in LA)

Responsibilities
Asset Purchasing and Management
• Work with internal clients on the licensing of creative assets such as: stock images, video, fonts, sound effects and libarary musc.
• Track and maintain Rights Expiration Reports (including Talent, Music, Stock Footage, Fonts, 3rd Party Rights, etc.)
• Update weekly Production Tracker for the department
• Support internal production teams with vendor agreements.
• Provide teams with rights expiration notices and estimates for reuse/ renewal/ negotiated option fees
• Prepare, distribute, process, and manage releases, contracts, redlines/ comments and emails to outside lawyers, agents and managers representing talent
• Assist with insurance obligations and the creation of Certificates of Insurance
• Help coordinate and check that crew payments are made accurately and on time
• Represent the Business & Legal Affairs department by communicating with outside talent representatives regarding the status of contracts; send contracts to talent representatives
Contract Management
• Facilitate execution of documents and file executed documents in accordance with department requirements
• Create and maintain a contract database and organize all departmental files.
Departmental Support
• Coordinate and organize a busy calendar – including but not limited to sending detailed calendar invites, anticipating schedule adjustments, and coordinating internal/external meetings and appointments by managing correspondence with other offices and distributing necessary information/materials
• Perform departmental administrative duties: generating reports as needed; creating/updating forms and production binders; processing expense reports; ordering supplies
• Receive calls, take messages and route correspondence, run calls, maintain call log
• Make travel arrangements, prepare expense reports, manage Incoming e-mail, contacts, and department memberships
• Set-up new vendors, process invoices, check payment obligations, prepare purchase orders/ check requests and submit them for approval
• Cover voiceover audition sourcing, contracts, and invoicing, as needed
Qualifications
• Maintain High Confidentiality
• 3-5 years’ experience in a business and legal affairs advertisting/entertainment production environment at a network or studio preferred.
• Bachelor’s Degree Preferred;
• Strong computer skills (including Microsoft Outlook, Word and Excel); Extreme Reach Plaftform and experience with creating and maintaining legal document management systems required.
• Excellent communication skills both written and oral including attention to grammar and spelling, with demonstrated redlining and proofreading experience.
• Proven meticulous attention to detail, strong organizational skills, and an ability to fully “own” your work.
• Successfully perform job duties in a high-pressure, high-volume environment in a professional, calm manner.
• Works with an appropriate sense of urgency with sensitivity to the demands and deadlines of productions operating simultaneously across multiple time zones.
• Professional presence, including a professional manner over the phone, in writing and in person, with the ability to interface with both senior executives and all levels of employees.
