Administrative Assistant Intern
The National Association of Latino Independent Producers (NALIP) - Los Angeles, CA 90034
Internship
NALIP (The National Association of Latino Independent Producers) is seeking to fill an Administrative Assistant Internship position! This person will primarily provide direct support to the NALIP Production Coordinator; including but not limited to, calendaring, expense reports, travel arrangements, scheduling meetings, preparing presentations and confidential information for meetings. Must have a strong ability to work independently and use sound judgment.
This role offers the intern a great hands-on experience with an established non-profit organization. NALIP's mission is to promote, advance, inspire and advocate for Latino and diverse content creators across media. This position is non-paid. We are able to offer college credit to eligible students. The position will be located in Los Angeles, CA.
DUTIES AND RESPONSIBILITIES:
Provide extensive administrative support.
Manage very busy calendars and arrange meetings daily.
Book and actively manage domestic and international travel arrangements.
Collect and consolidate information from worldwide staff.
Interface directly with customers and suppliers.
Handle confidential documents and legal documents appropriately.
Prepare correspondence and presentations as required.
Answer telephone, screen calls and manage messages.
Special projects.
Other duties may be assigned as necessary.
Collaborate with the film team in selecting promotional clip suggestions and brainstorming pitch angles.
Reviewing and editing press materials including press releases and alerts.
Budget and expense reports experience.
Producing background a plus.
REQUIREMENTS:
Must be able to come into the office a minimum of 2-3 days .
Film students seeking a Master's degree preferred, senior undergraduates are encouraged to apply.
Experience as an Administrative Assistant is a plus.
Must be energetic and very proactive, someone who welcomes a challenge and is able to work in a fast-moving, quick response, demanding, flexible environment with limited day to day supervision.
Proven track record and enthusiasm for complex problem solving utilizing financial modeling and analysis (superior Excel skills mandatory).
Strong capabilities for crafting and presenting analyses to senior executives, including non-analytical business partners.
History of self starting initiatives and enthusiasm for creating their own work.
Adept at managing several projects and coordinating with multiple stakeholders.
Top-tier education with emphasis on coursework of a quantitative nature; MBA a plus (or equivalent years of relevant experience).
Strategic thought partner.
Strong team player/self-motivated.
Deadline-oriented with strong time management skills.
Strong eye for producing visual assets.
Ability to handle high volume of complex projects and tasks for multiple people and departments simultaneously and manage competing priorities.
Must possess excellent verbal and written communication skills to communicate effectively with internal and external teams.
Previous experience in the entertainment industry is a plus.
Must be well organized, flexible and able to work under pressure.
Ability to deal with various personalities.
Should be a resourceful person with a professional manner that is aware this position requires the strictest confidentiality due to representing a high level of management.
Knowledge of proper formats for letters, proper grammar, spelling and the ability to compose neat, accurate correspondence.
Accuracy, productivity and dependability are important attributes.
