Administrative Assistant II, Worldwide Marketing Partnerships – Motion Picture Group

SPE's global operations encompass motion picture production, acquisition and distribution; television production, acquisition and distribution; television networks; digital content creation and distribution; operation of studio facilities; and development of new entertainment products, services and technologies.
The Worldwide Marketing Partnerships team is responsible for securing and activating best-in-class marketing partnerships globally, reinforcing the studio's marketing strategy and extending the reach of its film marketing campaigns. The team works with the some of the largest and most powerful global brands (including McDonald's, Mondelez, Kellogg's, Audi, Diageo and more) to create memorable marketing campaigns that drive awareness and interest for the studio's feature film slate. Additionally, the team supervises a network of more than 50 offices around the world, supporting their efforts to secure marketing partnerships locally.
The Administrative Assistant will provide full range of support for two SVPs including handling phones, calendars, drafting correspondence, coordinating meetings/travel arrangements, managing budgets and processing payments/invoices.
Job Description:
• Create and manage budgets for films
• Create, send and track payment for partner invoices
• Help coordinate events, screenings and trade shows
• Coordinate complex travel arrangements, domestically and internationally, and manage expense reporting
• Create documents highlighting partnership deal points for legal team
• Create partner wrap reports
• Word processing (composing and generating letters, memos and fax cover sheets)
• Handling phone calls
• Distributing and following-up on documents
• Updating databases and lists
• Scheduling and preparing for meetings and handling calendar
• Proof reading and editing
• Managing document flow, including creating and maintaining files (electronic and hard copy)
• Other general administrative duties (processing mail, copying, etc.)
• Miscellaneous duties as required
Job Requirements:
• 3 - 5 years experience as an administrative assistant within marketing areas
• PLUS: Entertainment or Motion Pictures experience
• Strong computer skills (Microsoft Word and Lotus Notes)
• Exceptional organizational and interpersonal skills
• Must be detail-oriented
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Must be able to meet deadlines
• Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
• Common sense, dependability, discretion and attention to detail are required
• Must be a self-starter with a team-player attitude
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
