Full Time Job
The HR Coordinator will report directly to the Senior Director, Human Resources and also work closely with the Staffing Director and the Human Resources Manager. The HR Coordinator will support day-to-day HRIS and benefits operations for the HR department at Pac-12 Enterprises and manage paperwork and data integrity surrounding new hires, changes, and terms.
Responsibilities:
• Maintains high quality, accurate, detailed, and secure electronic files in OnePoint as well as accurate paper and electronic personnel records in accordance with privacy, state, and federal requirements and HIPPA regulations.
• Prepares ad hoc and regular management reports to support the improvement of HR information management.
• Compiles and maintains benefits records, reconciles invoices, and works with employees, vendors, brokers, and staff to resolve issues.
• Ensures the OnePoint electronic feeds and vendors are in compliance and match with invoicing and reporting.
• Educates employees on the OnePoint self-service enrollment system and the online directory of forms, HR policies, benefit options, and the proper maintenance of benefit related paperwork in accordance with HIPPA regulations.
• Creates and writes accurate and confidential communications, Personnel Action Notices with required backup documentation, drafts new hire, change, new hire and, term notices.
• Responsible for internal communications as it concerns managing the onboarding process for new hires, from preparing new hire binders, to welcome emails, to directing them to the OnePoint self-service benefits to managing I-9s, payroll change reports, and other required on-boarding documentation.
• Manages the electronic and hard copy active and inactive personnel files with a focus on ensuring accurate records management, proper placement, filing, and updating of employee documents and changes.
• Audits files as required.
• Works closely with Staffing Director to maintain candidate/new hire onboarding portal TalentWise, including generating offer letters and processing new hire forms, and ensures a positive onboarding experience for incoming employees.
• Provides excellent customer service to HR team, Pac-12 Enterprises employees, candidates, and guests.
• Develops and maintains productive and collaborative relationships with colleagues
• Supports management in applying company policies including those governing disciplinary actions, grievance, and health & safety.
• Develops and manages ongoing creative and detailed ways to eliminate unnecessary paperwork and/or repetitive tasks.
• Contributes to the continuous improvement of HR systems and practices in the organization.
• Provides support, guidance, and training to employees on their inquiries and ensures company policies are understood.
• Partnering with the HR team ensures annual performance review process for employees is followed effectively and timely.
• Works with HR team on special projects and company events that reflect Pac-12 Enterprises culture and values.
• Other duties as assigned
Qualifications
and Requirements:
• High-level attention to detail and excellent follow-through.
• Ability to use an HR information system and Applicant Tracking system including, accessing, inputting, and extracting reports
• Expertise in Excel (VLOOKUP, pivot tables, formulas, etc.).
• High-level knowledge of HR policies, procedures, HRIS, and benefits best practices.
• Experience in interpreting, advising and implementing HR procedures.
• Excellent knowledge of California employment laws.
• Ability to ease discussions with groups and individuals.
• Good judgment and decision-making skills.
• Ability to research, analyze, and reason logically and effectively within tight and conflicting time frames.
• Excellent listening, communication and writing skills.
• Ability to work cooperatively with other team members.
• A commitment to providing customer service.
• Experience in providing advice and support to senior managers.
• Experience in leading projects and implementing new initiatives.
• University degree in Human Resources or another related field from an accredited institution or equivalent work experience.
