As the Sales Administrative Assistant you will be part of a high paced, innovative, and collaborative team. The Sales Administrative Assistant provides administrative, logistical and operations support to the Sales Department. Assists VP/Director of Sales with general administrative tasks including T&E, sales meetings, reports, day-to-day routine and non-routine requests, and serves as a liaison to internal departments and Clients. Under the direction of the Executive Sales Supervisor, will provide support for all sales efforts and will collaborate to ensure departmental needs are met. Will be crossed trained on regional/national desk and will serve as back up to the Executive Sales Supervisor. This fast-paced and evolving team requires an individual who demonstrates the capability to plan for and manage multiple activities, projects, and deliverables.
Additional responsibilities include:
• Answer multiple phone lines and screen calls for VP of Sales
• Greet visitors and set up necessary security clearances
• Generate and prepare various reports in WideOrbit Traffic and Matrix systems
• Send out weekly sales trackers
• Track, submit, and manage all expenses for VP
• Create, compile, and maintain Annual Operating Plan binder for VP
• Coordinate all travel arrangements for VP
• Set up meetings/conference calls and ensure catering and other related meeting needs are met
• Route departmental forms to appropriate inter-departments for timely approval and processing
• Order and maintain office supplies for department
• Sort incoming and outgoing mail
• Maintain department subscriptions and invoices
• Assist Sales Supervisor with daily supervision, hiring, and training of Sales Support Staff as needed
• Help manage team housekeeping including on-boarding and supply/technology needs
• Handle miscellaneous duties as assigned by VP and Supervisor
• Must be willing to work overtime as needed
QUALIFICATIONS:
• Four Year College Degree or equivalent experience preferably in Sales/Advertising
• 2+ years of work experience in a media environment
• Must have strong written/verbal communication skills
• Excellent MS Office Skills (Excel, Word, PowerPoint)
• Action-oriented with strong execution and follow up skills.
• Ability to handle multiple deadlines and priorities is vital
• Strong administrative and customer service skills
• Working knowledge of sales support systems and databases; WO Traffic, Matrix
• Extremely detail oriented
• Thrives in a team environment and demonstrates leadership skills
