Job Title: Royalty Administrator
Department: Royalties
Direct Report: Director of Royalties and Income Analysis
Indirect Report: Royalty Manager
Essential Job Functions
• Review and perform analysis on all income statements to ensue correct contract terms and policies are applied
• Follow up with distributors and vendors to obtain any missing documentation or details for royalty statements received
• Format royalty statements for entry into Record Maestro
• Compile product listings from database to update Excel lookup tables for product configurations, price categories and release dates
• Send out quarterly and semi-annual mechanical, artist and producer royalty statements
• Run repots from accounting system to compile all licensing and direct source income
• Track pricing changes and discounts approved by Marketing department
• Run reports from accounting system to gather recoupable cost details
• Provide support on requests for audit information by running reports from Record Maestro and database
• Answer questions from publishers about royalty statements with a professional demeanor and within a timely manner
• Update address and contact information for publishers in Record Maestro
• Request completed W-9 information for all publishers and payees
• Work with Finance and Licensing departments on special projects as needed
• Be willing to schedule yearly time off around the fixed due dates for royalty statements (February 15, March 30, May 15, August 15, September 30, November 15)
Position Qualifications
• A minimum of two years of music industry experience in business affairs, royalties or publishing
• Experience with Counterpoint Suite systems required.
• Intermediate Excel skills with use of vlookups, pivot tables
• Strong analytical skills and a keen eye for details. Must be extremely detail-oriented
• A high accuracy rate when inputting numbers, running reports, and analyzing data
• Exceptional communication skills, both verbal and written
• A strong ability to multi-task and manage multiple projects at a time
• An understanding for the need of and the ability to practice extreme confidentiality required
• A positive, can-do attitude that can thrive in a fast-paced environment where high levels of accuracy are needed
• The ability to work independently - must be self-motivated
• The ability to work collaboratively with fellow team members and other departments
• A want to grow in professional skill sets and to grow within the organization
