Assistant to the CEO
Reports to: Executive Assistant to the CEO
Location: Austin, TX, with frequent domestic and international travel
Base Salary: $65,000–$75,000, commensurate with experience, plus overtime as applicable. Total Compensation around $125,000 + FULL Platinum Health Care plan, Dental and Vision;
Eligible for company 401k plan after six months, 1 year cliff vesting for up to 3.5% employer match.
Position Overview
26 Keys Productions is seeking an experienced, highly organized, and proactive Assistant to the CEO based in Austin, Texas. Reporting to and working closely with the Executive Assistant to the CEO, this role serves as a key member of the CEO's support team and provides hands-on assistance across professional, personal, travel, and production-related needs.
The ideal candidate has prior experience supporting senior executives or principals within the entertainment industry and is comfortable taking ownership of responsibilities with limited oversight. They are resourceful, adaptable, highly discreet, and able to anticipate needs and solve problems before they arise.
This position requires frequent domestic and international travel and flexibility to work a non-traditional schedule when business, production, or travel needs require it.
Key Responsibilities
Partner closely with the Executive Assistant to support the CEO's day-to-day professional and personal needs and ensure priorities are executed seamlessly.
Coordinate and manage complex domestic and international travel logistics, including flights, accommodations, ground transportation, itineraries, reservations, and other travel-related needs.
Provide on-the-ground support during travel, events, productions, and shoots, independently managing logistics and resolving issues as they arise.
Own delegated tasks, follow-ups, scheduling, and ongoing priorities, proactively tracking outstanding items through completion and ensuring nothing falls through the cracks.
Provide personal support to the CEO and family, including errands, reservations, packing and unpacking, shipments, purchases, appointments, and other logistical needs.
Liaise closely with the Family Chief of Staff to coordinate family logistics, schedules, travel, and priorities as needed.
Coordinate with internal team members, production personnel, vendors, representatives, and other external partners on behalf of the CEO and Executive Assistant.
Assist with calendar management and meeting coordination, including anticipating scheduling conflicts and helping ensure the CEO is appropriately prepared.
Track expenses, receipts, purchases, shipments, and other administrative items with accuracy and attention to detail.
Anticipate needs, identify potential issues, and proactively develop solutions before problems arise.
Maintain the highest level of confidentiality and discretion when handling sensitive personal, business, and production-related information.
Support special projects, productions, events, and seasonal initiatives as needed.
Serve as a reliable extension of the Executive Assistant and CEO, exercising sound judgment and representing 26 Keys professionally in all interactions.
Qualifications
Based in or willing to relocate to Austin, Texas full time, with the ability to travel domestically and internationally on short notice for extended periods.
3–5+ years of progressively responsible experience in an executive assistant, personal assistant, or comparable high-level support role.
Prior professional experience within the film and television industry required; experience supporting a senior entertainment executive, producer, showrunner, or other high-profile principal strongly preferred.
Demonstrated ability to independently manage responsibilities, prioritize competing demands, and follow assignments through to completion.
Exceptional organizational and time-management skills with meticulous attention to detail.
Strong ability to anticipate needs, exercise sound judgment, and proactively solve problems.
Excellent written and verbal communication skills and the ability to interact professionally with executives, talent, representatives, production personnel, vendors, and family members.
Collaborative, team-oriented mindset with the ability to work effectively within a small, close-knit organization.
Comfortable with frequent travel, including extended periods away from Austin, and a non-traditional schedule that may include evenings, weekends, and holidays when necessary.
High degree of professionalism, emotional intelligence, discretion, and confidentiality.
Valid driver's license and passport and reliable transportation.
