TITLE: Business Administration Clerk (Bilingual Japanese/English)
REPORTS TO: Director of Business Administration
POSITION OBJECTIVE: Assists the Director of Business Administration in day-to-day business administration matters, focusing on contract administration, intellectual property management, human resources, office administration, and overall business and legal administration.
DUTIES:
1. Manage contract administration and corporate records, including monitoring of contract status and instructing next steps, maintenance of data in licensing management system and due diligence files, administration of copyright and trademark registration.
2. Assist in all aspects of acquisition and licensing activities, including identifying new titles, following market trends, drafting and summarizing license offers, contracts and amendments in Japanese and English.
3. Assist and manage HR activities, including managing time records, recruiting and managing interns, and handling staff inquiries.
4. Interfaces with other departments to ensure contract compliance, to facilitate overall licensing and approvals activities, and to improve internal processes.
5. Prepare and send business correspondence in Japanese and English.
6. Provide bilingual administrative support to the CEO.
7. Manage office administration.
8. Other tasks as assigned by supervisor.
EDUCATION AND EXPERIENCE:
• Degree from an accredited four-year university.
• Minimum two years of office experience in business administration and/or legal affairs.
• Experience with multi-cultural and multi-lingual environments.
PERSONAL ATTRIBUTES:
• Native level Japanese and English language skills (read, write and speak) and excellent overall communication skills.
• Excellent analytical and problem solving skills.
• Detailed oriented, multi-tasker who can perform under significant pressure.
• Capable of integrating and operating effectively in a complex and dynamic work environment.
• Ability to work independently on complex tasks and non-routine matters.
• Proficiency in Microsoft Office and Internet.
