Full Time Job
The Executive Assistant for the Executive Talent and Live Event Office will manage the day-to-day operations for both the EVP and SVP of Talent, Live Events, and Creative. The ideal candidate will have a customer-service/can-do mentality and provide unmatched administrative assistance as he/she will be dealing with an ever-changing corporate calendar and heavy private travel coordination. 24/7 availability is necessary since overtime is a regular occurrence. The Executive Assistant must be creative and enjoy working within a unique environment that is mission and results-driven. A sense of humor is appreciated and highly valued.
Qualifications
• Bachelor's degree and 5+ years of experience assisting at the senior leadership level
• Adept in Microsoft Outlook is essential, as well as Microsoft Word, Excel, and some PowerPoint knowledge
• Strong organizational, problem-solving, and communication skills
• Aptitude to quickly learn organizational structure and the objectives of the team
• Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
• High level of integrity and discretion in handling confidential information
• A terrific work ethic accompanied by an ever-positive, get-it-done attitude
• Demonstrate sound judgment and flexibility in balancing competing priorities
• Ability to take on increased responsibilities as the position advances
• Exceptional written, verbal, and interpersonal communication skills
• Ability to work in a highly ambiguous environment
• ''No job too small'' mind-set is necessary for success
General Overview
• Handle the EVP and SVP's daily agenda: organize daily tasks, schedule, arrange, coordinate and prepare for meetings and meeting agendas all the while answering 3- 4 different phone lines
• Book heavy travel arrangements (domestic and international; both work and personal)
• Prepare travel & expense reports
• Ensure EVP has food throughout the day
• Provide a bridge for smooth communication between the office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Expert level written and verbal communication skills
• Demonstrate proactive approaches to problem-solving with strong decision-making capability
• Emotional maturity
• Highly resourceful team-player, with the ability to also be extremely effective independently
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
• Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
