Summary
We are looking for a responsible Contract Administrator to join our team. Main duties include reviewing company contracts as well as implementing/administering both content management and automated workflow systems. A successful Contract Administrator will demonstrate strong organizational standards and attention to detail along with the ability to discover potential risks for our company.
Responsibilities
• Review, administer and track contract proposals and renewals
• Maintain organized system of physical and digital records
• Educate and work with employees to ensure understanding of the company contracts procedures
• Ensure all deadlines and conditions described on contracts are met
• Confirm contracts in process comply with company procedures. Including appropriate approvals and supporting documentation.
• Verify that certificates of insurance comply with contract requirements
• Analyze potential risks involved with specific contract terms
• Coordinate with the legal department as needed
• Notify personnel of updated contract versions and how to access them
• Determine which contracts in process require legal approval.
• Check contracts in process to ensure document integrity and version control.
• Collaborate with IT department to write, review and execute plans for testing new content management and automated workflow system,
• Prepare support documentation and training materials for end users of content management and automated workflow systems,
• Develop or configure content management system features, such as user interfaces, access profiles and document workflow procedures.
• Develop, document and maintain standards, best practices or system usage procedures to ensure security of systems and integrity of contracts,
• Operate data capture technology to import digitized contracts into the content management system,
• Utilize digital metadata for asset organizational search and retrieval functions.
• Propose recommendations for improving content management system capabilities,
• Monitor activity to maintain compliance with document retention policies,
• Review and process legal invoices.
• Other duties as assigned.
Requirements
Minimum Education and Experience Requirements
• Minimum of 4 years' experience in contract administration or other related discipline.
• Previous experience administering content management and automated work flow systems
• BS degree or higher in Business Administration, Computer science or a similar field; additional qualifications in law are a plus
Knowledge, Skills, and Abilities necessary to perform essential functions
Knowledge of legal requirements involved with contracts
• Familiarity with accounting procedures
• Experience in document management systems
• Experience working with many file types
• Ability to find and preserve paper documents
• Excellent writing skills
• Keen attention to detail, with an ability to spot errors
• Strong analytical and organizational skills
• Ability to work with varying seniority levels, including staff, managers and external partners
Physical/Environmental Requirements
• Office: Working conditions are normal for an office environment.
