Executive Assistant (GBS)
Location: Hungary - Budapest

The Job
The Executive Assistant is responsible for providing administrative support for the EMEA Global Business Services (SSC) organization finance leadership based in Amsterdam, London, and Budapest. This will include supporting the department processes and deliverables, distribution of information, coordination of schedules and meetings, and supporting EMEA GBS on Employee Engagement events and activities.
The Daily
• Manage daily incoming phone calls for Vice Presidents and provide first-level support to callers to provide timely assistance.
• Manage the Leadership schedule efficiently to maximize appointments but still allow the leadership time to handle other daily responsibilities.
• Schedule meetings, teleconferences, etc. for the department with internal and external clients and across all time zones, including booking conference rooms, catering, IT equipment, and support.
• Coordinate travel arrangements for the leadership team and support department employees and guests as needed. This includes all pre-travel requirements and expense reports.
• Raise Purchase Orders and Receipts
• Maintain schedule of department time off requests and other key dates.
• Support GBS-wide Employee Engagement initiatives and programs by developing communications and materials for EMEA GBS e.g., Monthly Newsletter and events.
• Solicit and oversee staff participation in trainings/events etc
The Essentials
• Extensive experience of providing high-level support to business leadership.
• Demonstrated time management skills, organization skills, sense of urgency capabilities.
• Excellent planning skills.
• The ability to effectively and tactfully communicate with all levels of internal and external contacts.
• Experience with SAP (e.g. shopping cart, account query, report generation)
