How you'll spend your days…
This is an exciting opportunity to support the transition of US Payroll from its existing, aging ADP Ev5 platform to Workday Payroll. You'll be expected to work in partnership with the HRIS team, building knowledge of the Workday Payroll product, supporting its ongoing development, configuration and troubleshooting, in accordance with the HRIS established governance procedures, support model and roadmap. The Payroll team delivers services to circa 1,700 employees, both hourly and salaried across circa 15 US based pay groups.
During the transition period
• Receive knowledge transfer from the existing Payroll team regarding payroll processing and procedures based on the current state model, ADP Ev5 platform and its Workday integration
• Following the knowledge transfer period, apply knowledge gained to take over payroll processing through the Ev5 platform and all related procedures, including running integration files from Workday to ADP, reviewing output, troubleshooting errors, resolving issues and committing bi-weekly pay runs
• Post knowledge transfer, responsible for the generation and posting of all payroll related journal entries, performing reconciliations of key payroll accounts, and supporting month end close and related tax, disbursement and garnishment activities
• Comply with internal and external business controls environment and agreed payroll and HRIS operating procedures
• Build knowledge of the Workday Payroll environment during its deployment, supporting testing activities, configuration decisions and shadow payroll processing reconciliations, leveraging opportunities to learn the technology and WMG set up during the implementation process
• Support Workday Payroll implementation project activities as required to ensure its successful go-live targeted for January 2019
Steady state responsibilities
• Performs accurate and timely processing and reconciliation of payrolls, including:
• maintaining related records
• filing tax reports and voluntary deduction reports
• processing involuntary deductions such as levies and garnishments
• preparing accounting transactions and documents
• preparing special reports for senior management.
• Operates in accordance with, and maintains up-to-date payroll processing and related procedures (e.g. Time Tracking) in accordance with internal and external controls environment (e.g. SOX) to ensure full compliance; participates in annual internal and external audit activity
• Balances payroll accounts by auditing information; identifying and resolving discrepancies; initiating journal entries.
• Review and process payroll deductions, garnishments, levy, support orders
• Communicates with management the status of the payroll department and issues arising from time sheet problems and complaints related to payroll.
• Works with the Payroll Director to implement on-going system enhancements according to organization goals, policies and procedures, and new laws and regulations
• Participate in new system implementations and or improvements related to payroll process and perform user testing.
What we are looking for…
• An astute, dedicated and experience payroll professional with proven success in executing end-to-end payroll processing, problem resolution, quality customer service and accounting practices
• General experience of the principles and practices of generalist HR, compensation and benefits
• System savvy individual with experience and proficiency in multiple payroll tools and systems, including cloud technologies (preferably Workday Payroll) and cloud update cycles
• Broad and local Subject Matter Expertise of US specific employee benefits and payroll tax across multiple States
• A super organised individual with impeccable attention to detail and ability to maintain confidentiality
• Proficiency in MS365 (including Word, Excel, Outlook, PowerPoint)
• Prior experience of business process improvement and a mind set for automation
• Individual who thrives in a performance-driven environment with professional work ethic
• Deadline driven and a fast learner of new processes, methodologies and technology
• Superior oral and written communication skills demonstrated through various presentations; easily interacts with upper management, end users, team members and vendors.
• Demonstrates knowledge of Accounting Principles and General Ledger account classification as it relates to Payroll interdependencies
• Ability to understand and carry out instructions furnished in written, verbal and diagram form.
• Full knowledge of current Federal, State, and Local labor laws, tax requirements and payroll regulations.
• Expertise in Core Payroll Concepts and Compliance; IRS and Department of Labor rules/compensation/benefits/disposable and take home pay
• Ability to effectively present ideas, facilitate group decision making process or engage with internal and/or external customers.
