Job Description:
Job Title: Executive Assistant
A little bit about our team:
Under direct supervision, with some latitude for independent judgment and decision is responsible for providing executive support to the Chief Executive Officer.
Here you'll get to:
• Welcome visitors, screen and direct phone calls/inquiries, process expenses, booking taxi's, maintain calendar items as needed, process incoming mail and correspondence, prepare outgoing mail, and ensure the office is always fully equipped and functions smoothly.
• Arrange signing celebrations and release celebrations in co-ordination with clients.
• Co-ordination of an evolving and changeable schedule, often with last minute alterations.
• Co-ordinating overseas trips including booking all travel arrangements, compiling itineraries and managing a busy schedule whilst abroad, sometimes working late due to different time zones.
• Work independently to complete routine departmental or unit functions and/or tasks including, but not limited to, various correspondence, preparing and updating recurring internal reports, forms, tables, pamphlets, etc. from rough draft, handwritten notes, or verbal instructions.
• Proofread and edit drafts and final materials for appropriate consistent format, accuracy of financial figures or other data and makes corrections as needed.
• Be responsible for completing tasks specific within the area, department, or division along with the aforementioned duties and responsibilities in a satisfactory manner as determined by the officers and managers of the division and/or Company.
• Direct documents to the appropriate parties, obtain approvals when necessary, and make certain all deadlines are met.
• Navigate Soundscan website to produce reports.
• Track and report budgetary spending.
• Prepare presentations.
• Handle related projects and special assignments as needed.
• Dealing with private and personal affairs including; diary activity, personal shopping, gift research and ordering, booking personal appointments and paying bills.
Rockstar candidates will have/be able to:
• A passion for music
• A High School Level education, or its equivalent
• 1-3 years of Executive level administrative experience, or a satisfactory equivalent of education, training and experience in related fields and/or educational disciplines, sufficient to qualify for the requirements of position.
• Handle and safeguard confidential and proprietary information.
• Effectively communicate internally and/or externally in a manner consistent with the company's Code of Conduct and core values.
• Come to work on time without restriction as to time commitment.
• Read and understand materials and documents and have the ability to recognize and extract critical data and information.
• Perform all diverse physical tasks necessary to complete all the essential duties and responsibilities of the position.
• Work at and utilize all necessary functions of a computer in order to complete all the essential duties and responsibilities of the position.
• General computer skills including a working knowledge of Microsoft Office, iMac, Entourage and Soundscan.
• Knowledge of general business practices.
• Possess a strong work ethic.
• Strong organization skills and pay high attention to detail.
• Strong communication skills (written and verbal).
• Strong project management skills.
• Ability to adhere to deadlines and execute on tasks and handle multiple, diverse assignments.
• Produce quality work and be accountable.
• Manage time.
• Ability to work well in a team.
• Demonstrate ability to be innovative and suggest change/improvements within scope of work.
• Anticipates needs and creates efficient and effective processes.
• Be a self-starter, self-motivated and take responsibility/ownership of tasks.

• Demonstrate flexibility and adaptability to changing situations.
• Demonstrate a high level of customer service and phone etiquette.
It would be music to our ears if you also had:
• A baccalaureate degree preferred with a major in business administration; coursework to have included principles of music business and/or related fields.
